Position Summary:
The Basu Lab is in need of experienced administrative support for their robust research lab. This position will handle various administrative duties including but not limited to assisting with grant submissions, IRB, CV/bio-sketch updates for PIs, p-card reconciliation, conference/travel arrangements and other administrative duties to support the faculty and other research staff.
Administers the logistical support for a University-wide program, which is often of a large and/or complex nature. May participate in developing program plans, objectives and directives. May supervise support staff. Acts as a communication liaison with outside resources. Plans and carries out special projects related to the success of the program. Responsible for adherence to program budget. May provide education and training to UAB community.
Key Duties and Responsibilities
- Manages the schedule and calendar for supported faculty by scheduling meetings/appointments according to scheduling preferences, communicating effectively and timely with all meeting participants to coordinate meetings, requesting/polling for availability on behalf of the faculty supported, arranging for meeting space, technology needs and preparation of meeting materials, as needed
- At the direction of the PI, provides administrative support for the application and reporting processes for grants and funded projects by assisting PI with various components of the processes included but not limited to assisting with submissions, determination of and adherence to required application components and formats, keeping PI notified of submission checklists and deadlines, drafting and collecting letters of support, preparation of progress reports and submissions.
- Assists the PI with IRB initial submissions, progress reports, amendments and final reports/closeouts and needed IRAP documentation, follow-up on approval status and maintenance of regulatory binders, following all requirements and protocols and standard best practices.
- Processes various financial P-card transactions for the supported faculty and lab such as license renewals, membership renewals, meeting and conference registrations, etc. as allowed by UAB policy.
- Reconcile P-card transactions.
- Arranges and schedules the travel needs of supported faculty/PI by booking travel, accommodations and other travel related arrangements according to UAB policy.
- Provides details of travel arrangements to the faculty timely and processes appropriate reimbursements.
- Maintains current Curriculum Vitae, Other Support, Biographical Sketches and other commonly requested data for supported faculty/PI.
- Orders routine and non-routine supplies as needed or as instructed by the supported faculty/lab manager with adherence to set budget.
- Assists with setting up contracts and vendors as instructed and adhering to UAB processes and poligy.
- Ensures that invoices for supplies, services and other financial obligations are processes timely and accurately.
- Miscellaneous administrative tasks such as assisting with manuscript submissions and formatting, drafting, editing and routing of correspondence for the supported faculty.
- Perform other duties as assigned
Salary Range: $18.35 - $29.80
Bachelor's degree in a related field and one (1) year of related experience required. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.

- Strong and excellent levels of administrative skill, communication skill, ability to work with a team and experience of UAB policies and procedures.
