H R COORDINATOR (Part Time) : UBMD Primary Care is seeking part time Human Resources Coordinator (HRC) to provide support to the Director of Human Resources (DHR) with overall human resources activities including assistance with recruitment / onboarding, distribution and tracking of required trainings, HRIS updates and projects. Will collaborate with HR Generalist on recruitment and onboarding of new hires. Responsible for managing 90-day feedback and annual performance review process, employee status changes, monthly exclusionary reporting, HRIS management and report-writing and offboarding. Will assist with employee relations as needed. Associate’s degree in human resources, business or a related field. Experience can be substituted for degree. Minimum of 1 to 2 years of HR experience preferred or 5 years without degree. Experience with HRIS / ATS systems desirable. Excellent communication, interpersonal and conflict-resolution skills. Ability to act with professionalism and confidentiality. Knowledge of employment-related laws and regulations preferred. Proficient with Microsoft Office Suite.
Flexible schedule of 15 to 22.5 hours / week. Ability to work more hours as needed is preferred. Benefits include paid time off and holiday time, as well as a 3% monthly retirement contribution by company after one year of service. Salary range is $23 / hour to $25 / hour depending on experience.

Job Summary :
- The Human Resources Coordinator (HRC) will be responsible for providing support to the Director of Human Resources (DHR) with overall human resources activities for UBMD Primary Care and UBMD Neurology, including recruitment and onboarding, as well as trainings, HRIS updates and projects. May assist other Human Resources team members as needed.
- Responsible for managing the full-cycle recruitment process including posting positions, screening candidates, interviewing, etc.). Collaborates with departmental managers on position needs, hours, skills and competencies required. Sends rejection notices to other candidates.
- Responsible for ensuring background checks / drug screens are completed as part of the new hire onboarding process.
- Manages the new hire onboarding process of all positions (except physicians) to include all required paperwork for UB email, parking (if applicable), trainings, etc. In-person meeting with new hire on first day preferred, when available.
- Manages 90-day feedback and annual performance review process for all employees. Tracks all employee evaluations as well as schedules appropriate training as requested / required. Ensures DHR reviews and signs annual evaluations before filing in appropriate personnel folder.
- Distributes and tracks all staff trainings, including new staff, as well as required annual trainings.
- Maintains tracking spreadsheet of professional licenses for APP’s and nurses. Ensures all licenses are active and notifies appropriate staff when they haven’t renewed.
- Responsible for managing the offboarding process including separation documents, notifications, etc.
- Completes all required paperwork for any employee status changes.
- Prepares and sends information to vendor for required monthly exclusionary reporting.
- Handles employment-related inquiries from applicants, employees, and supervisors, referring complex and / or sensitive matters to the appropriate staff.
- Provides administrative support to the Director of Human Resources as needed.
- Ability to work the minimum required number of hours per week (as outlined in offer letter) on a regular basis, except during times when paid time off is requested and approved.
- Adheres to HIPAA and confidentiality policies and procedures.

Qualifications :
Education : Associate’s degree in human resources, business administration or a related field. Experience can be substituted for degree with more than five years’ experience in human resources.
Experience : Minimum of one (1) to two (2) years of human resources experience preferred. Experience with HRIS / ATS systems desirable.
Knowledge, Skills & Abilities : Excellent verbal and written communication skills. Excellent interpersonal and conflict-resolution skills. Excellent organizational and attention to detail skills, as well as time management and proven ability to meet deadlines. Strong analytical and problem-solving skills, as well as ability to prioritize tasks. Ability to act with integrity, professionalism and confidentiality. Knowledge of employment-related laws and regulations preferred. Proficient with Microsoft Office Suite. Proficient with or the ability to quickly learn the HRIS and talent management systems.
