Job Overview:
We are seeking a detail-oriented and highly organized Assistant Project Administrator to support our construction team in managing and executing projects efficiently. The ideal candidate will be proficient in Microsoft Office Suite, with an emphasis on Excel, Microsoft Planner, and Microsoft Project. Proficiency in understanding architectural plans and take offs. Strong communication skills, including the ability to draft well-written and professional emails, are essential for this role. Bluebeam takeoff software and or Procore Construction management tool competency is a plus.
Key Responsibilities:
- We are a subcontractor specializing in millwork for a large number of residential and commercial project around NWA. Therefore, the ideal candidate must be able to juggle multiple jobs at once.
- Have a full understanding of the commercial or residential construction project by understand the architectural plans, and being able to answer questions from the architect, contract or other subcontractor.
- Assist the Project Manager in planning, coordinating, and executing project tasks and timelines.
- Assist in take off of construction materials and logging architectural plan changes.
- Reviewing architectural shop drawing submittals for accuracy.
- Create and maintain project documentation, reports, and tracking tools, especially using Microsoft Excel.
- Utilize Microsoft Planner and Project to track project milestones, deliverables, and team assignments.
- Draft and send professional, clear, and well-structured emails to internal and external stakeholders.
- Monitor project progress, update schedules, and ensure project goals and deadlines are met.
- Collaborate with cross-functional teams and provide administrative support for project meetings and communications.
- Ensure project documents and files are organized, up-to-date, and accessible to the team.
- Perform other administrative tasks as needed to support project management activities.
Qualifications:
- Proficiency in Microsoft Office Suite, particularly Excel, Planner, and Project.
- Proficiency in understanding commercial and residential architectural plans.
- Strong written communication skills, including the ability to draft professional emails.
- Excellent organizational and time-management skills.
- Ability to multitask and manage multiple priorities in a fast-paced environment.
- Detail-oriented and proactive in identifying and resolving issues.
- Knowledge of project management principles is a plus.
- Previous experience in an administrative or assistant role.
- Previous experience in construction management is preferred.
