Program Secretary
The Program Secretary provides administrative support to the Behavioral Health Program and its Director. Key responsibilities include answering phone calls, scheduling unit assessments and meetings, attending hospital and unit meetings, greeting visitors and patients, and managing daily operations.
Administrative Tasks:
• Schedules unit assessments, meetings, and appointments as necessary
• Manages all CQI paperwork, including data entry, submission, and audits
• Collects required documents for PAF/On-Board processing
• Creates new hire personnel files and ensures accurate documentation
• Maintains new hire packets and distributes materials as needed
• Tracks training and certifications, including Core Competencies and HIPPA
• Enters data into HorizonPlus system and generates reports on referral, admission, and discharge data
Communication and Collaboration:
• Promotes positive, professional interaction with peers, management, and staff through effective written and verbal communication
• Assists in submission of reports and requests for documents from regulatory agencies
• Collaborates with the Program Director to maintain budget for the Behavioral Health Administration's cost center
Operations Management:
• Oversees maintenance on office-related equipment
• Orders office supplies
• Facilitates special events as needed
