What are the responsibilities and job description for the Program Director (Director of Ticketing & Event Support) - Credit Union 1 Arena position at uic?
This position is responsible for providing direction, leadership and supervision for all ticketing operations of the Credit Union 1 Arena and UIC Dorin Forum. In addition, the position will recommend operational changes to better support clients and facility's efficiency.
Duties & Responsibilities:
- Manage the hiring, training, scheduling, day-to-day and event supervision of Box Office student, status, and extra help personnel. (Ticket Sales, Will Call, Ticketing Scanning, etc.). Responsible for the overall direction, coordination, and evaluation of unit.
- Design, build and maintain all ticketed events for venue(s) or locations assigned within the appropriate ticketing software; Ticketmaster Host, Archtics, Universe. Work with the Marketing, Production and Talent departments, artist management and label representatives to set-up events, place holds, process orders, and release tickets in a timely fashion. Collaborate with Pricing team to monitor and dynamically price tickets to maximize revenue. Track attendance for all events, including pre-sales, walk-ups, promotions, discounts, etc.
- Develop and implement policies and procedures to assure industry best practices are being utilized and venues comply with university guidelines and policies. Analyze challenges, identify alternative solutions, project consequences of proposed actions and implement recommendations in support of organizational objectives.
- Responsible for the collection of all ticket monies, tracking of accounts payable/receivable and preparation of sales reports/ticket revenue updates. Ensure venue Box Office staff adheres to university cash handling policies and procedures. Perform daily Box Office safe reconciliation, prepare deposits, and run all daily financial reporting. Oversee all financial reconciliation regarding daily reports, monthly reports and event settlement.
- Produce appropriate reports for all box office receipts. Produce financial reports, box office statements for all ticketed events. Reports must reconcile all sold and unsold tickets. Responsible for meeting with promoters to explain and confirm all box office statements at the conclusion of events.
- Produce end of event reports such as the Box Office recap and event closings.
- Oversee the coordination of all ticketing policies, equipment and supplies required for events. Oversee will call for all ticketed events, ensuring compliance to all relevant ticket laws.
- Develop strong working relationships with promoters, venue staff, ticketing staff, guests, and affiliated partners
- Responsible for coordinating the accounting and audit control of cash transactions in order to reconcile with, and submit to, Deputy Director/Business Manager. Work with sales reports/ticket revenue updates.
- Develop and implement departmental policies for record retention. Manage record storage and disposal in accordance with state and university guidelines.
- Responsible for operation and maintenance of facility ATM machines. Receive, manage and reconcile cash for facility ATMs.
- Collaborate with production to design custom event seating maps and confirm day of event set ups are accurate.
- As necessary, assists in the supervision and training of other support staff including ushers and office staff. This may include serving as the Event Coordinator during events.
- Assist in resolving guest problems, threats to public safety and emergency situations.
- Manage TM1 Entry scanning process, equipment and application. Support FOH staff with training and event related operations.
- Receive and distribute cash shipments for event related needs.
- Collaborate with internal departments and external event personnel to ensure all ticketing needs are addressed. Advise staff and clients on issues concerning ticket sales for events.
- Ensure ADA Compliant Ticketing Practices.
- Track attendance for all events, including pre-sales, walk-ups, promotions, discounts, etc. Process/fill approved charity ticket requests; document all complimentary tickets issued. Update and relay all box-office related event information to each department and client.
- Work with clients, sales and marketing departments to set up various ticket discounts and promotions.
- Responsible for coordinating all ticket mail-order operations.
- Responsibilities include maintaining records and all associated mail lists.
- Assist and work with clients to initiate group and block sales of tickets.
