Summary:
The Student Organizations & Special Events Coordinator supports the Registered Student Organizations (RSOs) by providing training and event support, advisement of the Student Organization Funding Association, and manages the space scheduling process. This role strategically promotes student engagement and leadership development through fall and spring welcome programs.
Duties & Responsibilities:
Support Registered Student Organizations: Coordinate RSO registration and orientation and facilitate their leadership development. Develop and implement RSO leadership programs and workshops in collaboration with Student Life staff and campus units. Serve as liaison to RSOs providing program planning support and advisement on department policies and procedures through the liaison program. Maintain regular communications with RSOs and advisors, conducting workshops and training sessions as needed.
Welcome & Campus Wide Programs & Traditions: Coordinate Fall & Spring welcome programs and initiatives, collaborating with departments across campus and registered student organizations. Review and revise UIS Welcome Program goals and outcomes, evaluating their execution and effectiveness. Recruit and train volunteers to serve at Welcome tables. Participate in the New Student Orientation and New Student Welcome planning. Attend and work collaboratively with Student Life team to carry out annual programs and initiatives such as, but not limited to, Fall Welcome, Spring Welcome and Late Night programs. Assist in managing and documenting Student Life expenses for Welcome Week and traditional programs to ensure fiscal responsibility and compliance.
Space Scheduling & Events Approval: Coordinate space reservations and event registration processes for RSOs (and appropriate departments) using UISConnection. Collaborate with campus scheduling managers to update and maintain space usage policies. Submit campus work orders and coordinate event needs for RSOs with the facilities team. Approve events and programs in UIS Connection as space and logistics are confirmed. Update details and information pertaining to space and event request process in UIS Connection.
Advise the Student Organization Funding Association: Educate, train and provide direction to the Student Organization Funding Association (SOFA) officers and members. Provide support to SOFA in the development and implantation of the SOFA guidelines and process led by the SOFA Chair and Vice Chair. Review SOFA expenditures and assist the SOFA board in managing their accounts. Assist Student Life Office Administrator with SOFA Journal Vouchers.
