Ultimate Staffing's client is looking for a temp-to-hire Administrative Assistant. The Administrative Assistant plays a key role by supporting customer service, managing special projects, and handling a variety of administrative tasks. This position offers a dynamic environment with opportunities to work closely with executive leadership and gain experience across multiple areas of the business.
Key Responsibilities:
- Collaborate with local leadership to foster a culture of customer service, quality, integrity, and accountability, encouraging employee engagement and growth.
- Provide direct support to three departments.
- Prepare and maintain weekly, monthly, quarterly, and annual reporting metrics.
- Complete assigned reports accurately and in a timely manner.
- Manage Time & Attendance data and process payroll, including exceptions, ensuring accuracy, compliance, and timeliness across all sites.
- Process employee data related to new hires, status changes, and additional earnings.
- Maintain records for vacation and sick leave, and assist with FMLA and ADA leave tracking and compliance.
- Develop deep knowledge of payroll systems and HRIS, generating reports as needed.
- Support employees with access to the ADP Workforce Now portal.
- Ensure personnel records are up-to-date and compliant with regulatory standards; maintain data integrity.
- Manage unemployment claims with accurate submissions and timely follow-ups.
- Collaborate with Learning and Development teams on employee development initiatives.
- Conduct regular audits of employee files to ensure compliance with federal regulations.
- Perform additional duties and projects as assigned.

Education and Experience:
- Minimum of three (3) years of administrative experience, with a strong emphasis on data analysis.
- Proficient in Microsoft Excel, including pivot tables, VLOOKUPs, and advanced formulas.
- Experience in retail or grocery environments is preferred but not required.
- Working knowledge of federal and state employment and wage/hour regulations.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Familiarity with ADP Workforce Now is preferred but not required.
Pay: $25-28/hr
