Job summary
The main task of Receptionists at Ultra Cryo & Recovery is to serve as likeable, professional, and effective first point of contact between the wellness center and its prospects, clients, suppliers, partners and all other interested parties, whether in person or by phone or e-mail. It includes but is not limited to reaching out to prospects and clients, managing appointments, and receiving visitors at the front desk.
Receptionists-Consultants not only perform the front office tasks, but also consult new clients on the best way to achieve their wellness goals by combining the different services in Ultra Cryo & Recovery portfolio. Each intake consultation results in sales.
Receptionists-Consultants are also actively involved in training junior staff members.

To qualify for a promotion to a Receptionist-Consultant , you will have to :
Demonstrate your ability to confidently communicate with clients not only about administrative aspects of the wellness center, but also about all services it provides.Impersonate Ultra Cryo & Recovery culture in everything you do.Learn to present the benefits of each treatment provided at Ultra Cryo & Recovery and customize recommendations to the needs of each client.Complete our detailed intake training and successfully perform at least 10 intake consultations resulting in sales of a package or a membership.Before you can perform your duties to a full extent as a Receptionist, you will need to undergo on-the-job training in a status of a Trainee and complete the knowledge and skill checklist provided at the end of this document.
Responsibilities of a Receptionist
To manage all activity at the front desk :Receive visitors at the front desk by greeting, welcoming, directing and announcing them properly.Issue and collect Interest Forms from first-time visitors.Make clients attended and comfortable if waiting is involved.Assign consultants to perform intake consultations.Have new clients fill out waiver form.Provide clients with treatment-related supplies, such as towels, and similar, when necessary.Manage appointments.Manage purchases from the Website.Manage check-out and receive payments.Make and answer phone calls.To administer the reception area and the Website :Ensure reception area is tidy and presentable, with all necessary stationery and material (ie, pens, forms, brochures, treatment descriptions).Ensure the storage of supplies are fully stocked, well-organized.Ensure proper behavior of clients and employees in the reception area (ie. no ringing cell phones, loud conversations, or foul language that may compromise comfort of those present).Deal with any emergencies in a timely and effective manner, while also streamlining front desk operations.Receive, sort, and distribute daily mail / deliveries.To reach out to leads to book consultations.To monitor client activity and to follow up with clients who have not come to appointments or whose packages have expired.To manage set-up of treatments that do not require constant attention by a staff member, such as infrared sauna.To promptly follow instructions of using this wellness equipment.To, whenever appropriate, suggest and promote additional services or retail products that may speed up client’s progress towards the goal.To administratively support all employees across the wellness center.To perform other clerical duties such as filing, photocopying, preparing outgoing mail, or similar.To uphold hygiene standards, appearance, and behavior requirements.To immediately inform the supervisor in case of client complaints or any other arising issues.Additional responsibilities of a Receptionist-Consultant
To conduct new client intake interviews and to offer each client a customized treatment plan to best achieve his / her wellness goals.To answer client’s questions and address objections to obtain client’s agreement with the suggested package or level of membership.To provide a tour of the facility and to ensure closing the sale and booking the first treatment at the end of the intake process.To actively participate in on-the-job training of junior staff members.Key performance indicators
Conversion rate (leads to consultation bookings).Show-up rate on booked consultations.Retention rate (returning clients after their packages have expired).Net sales :o Up-sells for Receptionists (extra products or services sold after the initial intake, package renewals, upgrades to memberships).
o New sales and up-sells for Receptionists-Consultants.
Keeping accurate and complete call records.Performance as a team member (attitude, responsiveness, and responsibility, as assessed by the supervisor).Requirements
Essential qualifications, skills, and personal characteristics
Proven work experience as a Receptionist, Front Office Representative, or similar role.Positive, service-oriented, outgoing concierge personality.Good interpersonal and communication skills.Ability to freely communicate in English, both verbally and in writing.Experience in making “cold” phone calls and turning these conversations into booked appointments.Professional attitude and appearance.Excellent organizational skills.Multi-tasking and time management skills, with the ability to prioritize tasks.Ability to manage stress, be proactive and resourceful when issues arise.Being a team player.Reliability and integrity.Computer literacy, ability to type fast (at least 50 words per min) and hands-on experience with office equipment.Willingness to continuously learn and grow personally and professionally.Min high school degree.Experience in sales will be considered an asset.Job Type : Part-time
