Job Overview
We are seeking a detail-oriented and organized Customer Service/Admin Specialist to join our growing team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by conducting administrative tasks, supporting the Purchasing Dept, the Accounting Dept, and the Sales and Marketing team. This position will also oversee various office procedures. This position is essential for maintaining an efficient work environment and providing excellent support to our staff and customers alike.
Responsibilities
- Monitor office supplies inventory and reorder as necessary.
- Primary contact for office vendors
- Customer support via phone calls and emails.
- Monitoring domestic orders in a timely manner, processing requests for rush orders, and reviewing pending orders and customer requests to ensure customer satisfaction.
- Answering customer inquiries and following up with customers about their order and delivery status.
- Developing and monitoring sales tracking tools, and compiling reports.
- Performing data entry tasks for sales figures, metrics, and other relevant information.
- Providing backup support for fellow customer service representatives.
Skills
- Strong administrative skills with a keen attention to detail.
- Strong Excel Skills and the ability to quickly learn and adapt to the use of new or previously unused software is critical.
- Strong Reporting Skills
- Proficient in calendar management and scheduling tools.
- Knowledge of budgeting practices.
- Familiarity with clerical duties including data entry and document preparation.
- Excellent communication skills, both verbal and written, to interact with diverse stakeholders.
- Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly, demonstrate excellent attention to detail and employ time management techniques that ensure that deadlines are met or exceeded.
