The Office Manager will be responsible for demonstrating the Umpqua Dairy Mission Statement and utilizing a Continuous Improvement (CI) mindset in supporting the office.
- Executive Administrative Assistant to General Manager
- Manage the General Managers mail, e-mail, and correspondence, securely and promptly.
- Manage complex calendars, and scheduling for personal and work engagements. Text reminders. Helping to maintain efficiency throughout the day.
- Coordinate all travel both professionally and personally for events, meetings, etc. while ensuring accurate monthly T&E ledgers and expense reporting via Concur.
- Facilitate communication between the General Manager, Leadership Team and Executive Team.
- Manage the General Manager’s daily calendar and schedule all meetings, ensuring that GM is prepared and on time for all meetings, project deadline and deliverables.
- Communicate on behalf of GM and ensure efficient operations on a professional level.
- Proofreading & editing duties when necessary.
- Participate in budget development and program planning.
- Interoffice management and communications support.
- Prepare Divisional Town Hall Meeting Presentation.
- Daily updates to GM of internal workings, accidents, losses, cultural or any other concerns.
- Liaison with internal and external stakeholders.
- Communicate with facilities management, cleaners and office vendors.
- Scheduling meetings, preparing reports, and responding to inquiries.
- Maintain and update sales records, communicate with internal partners to verify sales information.
- General sales support to include but not limited to research, approval and submittal of invoices.
- Assist Branch Operations Manager and General Sales Manager with proformas, price quotes, presentations, analytical data, etc.
- Invoice and Vendor Management.
- Provide GM with daily, weekly, monthly and annual sales reports
- Collaborate with marketing as needed.
- Management and approval of donations.
- Prepare or coordinate correspondence, forms, reports, presentation materials, and other written communication as required for executive and business meetings adhering to deadlines.
- Create meeting agendas, coordinate staff meetings, internal and external events as needed; supporting team cadences / meetings (e.g., notes / prompts for agenda items; proactively updating recurring events).
- Act as the main point of contact for external and internal requests, including meeting and greeting when necessary.
- Assist with event planning and coordination for team meetings, supervisor meetings. staff meeting, all-hands meetings, town halls, including HR company events.
- Help to drive culture and engagement in the organization.
- Manage and engage in building relationships with clients and outside resources to help create value for our business.
- Manage and order office supplies.
- Additional duties as needed including supporting all administrative duties in the office and ensure that the office is operating effectively.
Wage Range: $85K - $90K DOE

Salary : $85,000 - $90,000
