Primary Purpose of Position
Provide regular support to the University Scholarship Office and departmental scholarship administrators to ensure effective scholarship development and administration for the university.
Minimum Education/Experience
Required Minimum Qualifications:
Bachelor’s degree; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Essential Job Duties
- Provide initial and ongoing training, technical assistance, and resources that supports effective scholarship administration and use of the scholarship management system among departmental representatives responsible for scholarship fund oversight.
- Develop and maintain positive working relationships with departmental personnel responsible for managing scholarship funds.
- Effectively communicate university processes and policies related to scholarship administration and fund management to campus partners.
- Troubleshoot and resolve user issues with scholarship management system.
- Respond to requests for information from departmental personnel and prepare reports and other resources to satisfy scholarship-related inquiries in a timely manner.
- Track scholarship fund balances, student award offers, acceptance and denials, and future year obligations to ensure all available scholarship funding is awarded in compliance with the terms of each donor agreement.
- Plan and implement the annual Scholarship Administration Resource Session.
- Present at general information, training, and other public events related to scholarship administration.
- Develop and maintain scholarship management system user guides for students, application reviewers, and fund administrators.
- Understand how scholarship donor agreements and new funds are established, and how to calculate scholarship fund balances.
- Understand the purpose and functionality of the scholarship application and award cycle and clearly communicate this information when requested.
- Raise awareness of the mission and resources provided by the University Scholarship Office.
Other Work Responsibilities
- Provide guidance and support to student workers and/or federal work study students in the University Scholarship Office.
- Make recommendations to improve the scholarship management system, advance strategic use of scholarship funds, and increase overall departmental production.
- Maintain a current roster with contact information for all departmental scholarship reviewers and administrators.
- Maintain a strong working knowledge of university systems and other technology platforms to include: Slate and related scholarship portals, Google Drive, Docs, Sheets; Microsoft Word, Excel, and PowerPoint, Banner Student and Banner Finance, and Report Central.
- Collect and analyze feedback annually from users of the scholarship management system to identify functional challenges and inform system enhancements.
- Compile, organize, and analyze data and information from multiple resources and incorporate them in ad-hoc reporting.
Departmental Preferred Experience, Skills, Training/Education
- Three years’ experience with scholarship administration in a medium to large-size, public or private, college or university setting preferred.
- Strong communication skills, both written and verbal with a high attention to detail.
- Experience with Banner and Slate.
- Intermediate to expert skills in MS Word and Excel, Google Sheets.
- Ability to learn new information quickly and explain to others in laymen’s terms.
- Applicant should be a self-starter; demonstrate flexibility, motivation, ability to work independently, and pride in quality of work.
