Job Summary:
The Office Admin/Design Associate is responsible for supporting the daily activities of the Office, Design, Quality and Customer Service departments.
Responsibilities:
Overseeing and managing of all billing.
Processing vendor PO’s and Invoices
Processing Daily Production
Process weekly/monthly production reports
Maintain Sales booking register in conjunction with Customer Service
Internal and external phone contact with vendors, outside sales representatives, and customers.
Working directly with manufacturing depts. and shipping/receiving departments internally and externally.
Order office supplies, coffee, ink, safety gear and plant supplies
Filing of PO’s, personal records, training records, etc.
Customer services duties as needed.
Problem solver and self-sufficient.
Handling many tasks and interacting with other departments on a daily basis.
Operate sample table and perform light assembly and packaging.
Assist in the preparation and shipment of sample production.
Manage the purchase of outside tooling including print plates and cutting dies to include obtaining quotes from multiple vendors, ensuring the timely delivery of tooling and verifying tooling delivery.
Perform quality tests on production samples and competitor samples.
Assist with customer service activities including booking repeat orders.
Work directly with production, design, quality, customer service, scheduling and shipping/receiving departments.
Assist designers as needed.
Internal and external phone contact with customers, vendors and outside sales representatives.
All other duties as assigned.
Qualifications
Skills/Qualifications :
HS Degree or equivalent required. College Degree preferred
Billing and invoicing experience required.
Strong organizational, communication, and interpersonal skills
Excellent attention to detail and thoroughness
Excellent communication skills both oral and written
Ability to work in a team-based environment
Demonstrated ability to handle multiple projects and effectively prioritize
Proven record of successfully meeting deadlines
Ability to follow written and verbal instructions
Strong customer service focus
Problem solver and self-sufficient
CAD and Graphics experience a plus, but not required
Strong computer skills specifically in Microsoft Word, Excel, and Outlook
