Job Summary
The Field Service Administrative Assistantwill conduct administrative functions within the field service department at the direction of the Technical Services & Training Manager. When required, will perform duties in various areas of operation within the Uniloy, INC headquarters located in Tecumseh, Michigan, but duties will be predominantly conducted from a remote standpoint.
Duties and Responsibilities:
- Generate Customer Quotes for field service work.
- Generate Scope of Work documents relating to field service projects.
- Document and audit technician labor and travel expenses relating to field service jobs.
- Manage theexpense reporting program for the field service department to ensure accuracy of expense reporting. Approving or denying expense reports as appropriate in accordance with company policy.
- Accurately and timely generate Sales Orders for field service work in Epicor.
- Work with customers to collect valid purchase orders for field service work.
- Generate Service Jobs in Epicor.
- Input and verify Service personnel labor into Time and Expense module in Epicor.
- Input/Document/Validate Job Adjustments in Epicor to accurately capture field service job expenses relating to Sales Orders.
- Finalize and process Sales Orders and Jobs for invoicing of all Field Service completed jobs.
- Coordinate with Uniloy Finance Department regarding all matters of billing, invoicing and processing of service related revenue.
- Generate Work Orders for field service technicians.
- Process Work Orders after completion of Field Service work.
- Maintain comprehensive files of all past customer quotes.
- Maintain comprehensive files of all complete and in-progress Work Orders.
- Verify accurate and timely reporting of payroll hours on a weekly basis for Field Service Department.
- Consult on Field Service Projects with Vice President of Aftersales
- Perform other functions as directed by Service Manager.
Minimum Qualifications:
- Associate degree
- Maintain Valid State Issued Driver’s License
- 5 years of experience in blow molding or manufacturing industry, preferred
- Extensive knowledge of blow molding processes relating to scopes of work to effectively quote field service work, preferred
- Ability to perform functions in multiple Epicor modules
- Familiar with code requirements of safety and annual OSHA training.
Job Type: Full-time
Pay: $20.00 - $25.00 per hour
Expected hours: No less than 40 per week
