Job Description
Position: Attendance Coordinator/Assistant SIS Coordinator
FLSA Status: Non-Exempt 12 month
Reports to: Chief of Staff
Purpose: The School Attendance Coordinator responds to inquiries from staff, students, parents, and public; maintains files and records; prepares, processes and distributes documents and forms; inputs data into computer; contacts parents regarding absences or disciplinary actions.
Major Duties and Responsibilities:
To consult with personnel in gathering information on a case and in establishing and planning for respective roles in the modification of the student’s behavior.
To gather information from home visits that will be useful in determining how best to meet the needs of the student and parents relative to improving attendance and making the school experience more meaningful.
Acts as a resource person and assists with the referral of students of family to various out-of-school agencies, as necessary.
Helps enforce attendance policy, tardy policy, and Compulsory Attendance Law.
Establish a system to monitor student tardies and absences and hold students accountable for excessive tardies and/or absences in violation of school and state policies.
Send formal state mandated letters weekly to parents of students who accumulate 3,6, and 9 unexcused absences. (Run reports on Tuesdays and Thursdays)
Send formal warning letters to parents of students who are in danger of failing due to excessive absences.
Initiate communication and meet with students and parents who are required to attend attendance recovery.
Monitor and assign consequences to students who arrive at school after 8:05am.
Verify that all teachers take Homeroom attendance by 8:15am.
Communicate with principals regularly about all attendance concerns.
Keep all attendance records confidential.
Helps families better understand the school and its attendance policy.
Receives and responds promptly to telephone requests for assistance from parents, principals and counselors.
Obtains necessary documentation for court cases.
Initiates court proceedings when parents are found in violation of the Compulsory Attendance Law.
Accepts and completes other activities as requested by the school principals.
Assist Lottery Coordinator in maintaining enrollment forms, checklist, and the lottery software
Register all new students and procure from previous school (s)
Maintain a cumulative folder for each student and ensure all student records are complete (ELL, 504, EC, discipline, tests, grades, etc)
Maintain enrollment /withdrawal records and facilitate the transfer of student records between schools
Process final student records (report cards, transcripts, GPA’s, rank, attendance, cumulative folder labels at the end of the school year in preparation for EOY (End of Year) in PowerSchool. Prepare custom reports for school needs.
Attend conferences and online training to develop and maintain knowledge of database management and the student information system.

Ability to compose correspondences independently.
Ability to work in the absence of supervision.
Ability to establish and maintain cooperative working relationships with those contacted in the course of work.
Backup to the receptionist for answering calls and assisting walk-ins.
Any other assigned duties.

Desired Training and Hand-On experience
Shall have two years of college with liberal arts emphasis.
Shall possess knowledge and skills basic to school social work responsibilities.
Such alternatives to the above qualifications as the Board may find appropriate and acceptable
Knowledge of Powerschool
Ability to navigate and utilize computer tools such as Google Docs, Google Drive and Google Sheets
Minimum Qualifications or Standards required to perform essential job functions:

Motor Coordination: Requires the ability to coordinate eyes and hands to use the keyboard.
Interpersonal Temperament: Requires the ability to deal with people beyond giving and receiving instructions. You must be adaptable to performing under minimal to moderate levels of stress.
Physical Communication: Requires the ability to talk, write and hear.
Assessment: Performance of this job will be assessed annually in accordance with provisions of the Board’s policy on assessment of administrative personnel.
