Position Summary: The Personal Trust Services Administrative Specialist serves as the initial contact for greeting customers via telephone calls and office visits for the Personal Trust Department. This professional answers questions, transfers calls to appropriate individuals and bank departments, prepares files and correspondence and handles various requests. Requires creativity for planning, organizing and promoting internal and external events. Maintains all marketing files in multiple applications, making sure files remain updated and accurate.
Essential Functions:
- Provide excellent customer service by greeting customers in person, on the phone, and answer routine questions and requests.
- Sort, distribute and process daily mail, including responding to requests, completing forms, and preparing correspondence (obtaining Trust Officer input when necessary). Accurate and timely imaging & maintaining electronic files accurately & efficiently is also important.
- Review daily obituaries for current and standby customers and route them to officers and assistants for review. Prepare and process memorial checks, get well cards and other relationship correspondence.
- Perform opening and closing procedures on all prospect files, organize documentation, scan to appropriate files, work with Trust Services Advisor Officers (TSAOs) in recording new account information, and maintain all account files.
- Gather information and provide list of all monthly follow-up/reviews, prepare correspondence and suggest course of action to TSAOs.
- Maintain all Trust Services Advisor databases as well as inventory records for all marketing collateral material supplies and coordinate updating and ordering marketing materials with vendors and appropriate department at the bank.
- Gather necessary information and prepare the new business report for trust committee.
- Assist Trust Officers with preparing, proofreading, and assembling collateral materials for promoting trust services to internal and external prospect, clients, and professionals including preparing for presentations, seminars, training, Request for Proposals (RFP), and all marketing materials.
- Prepare TSAOs for appointments and meetings by gathering files, information and materials, and confirming appointments.
- Organize, coordinate, and maintain all lists for bank events involving the Personal Trust Department as well as mailings and events exclusive to the Personal Trust Department.
- Provide minimal backup for Trust Assistants and assist Trust Officers as needed.
- Understand and adhere to all bank policies, laws and regulations applicable to their role. Complete compliance training; follow internal processes and controls as required.
- Report all compliance issues, violations of law or regulations in accordance with the steps defined in bank policies.
- Regular and reliable attendance is an essential function of this position.
- Perform other job related duties or special projects as assigned.
Qualifications:
- 2 year college degree preferred.
- 1-3 years in a professional work setting.
- Proficient knowledge in Microsoft Office products, PowerPoint, Access and in working with other financial software including Acumen.
- Valid Nebraska Driver’s license.
