ADMINISTRATOR
Responsible for managing the administrative functions of a volunteer fire department in South Kingstown for the Union Fire District, overseeing day-to-day operations for the District, manage the budget, record-keeping, personnel management. Requires strong leadership, financial management, and communication skills to ensure efficient running of the district while reporting to the Board of Wardens and Fire Chief, with a primary focus on supporting the volunteer firefighters and optimizing their capabilities
Responsibilities:
Develop, monitor the district budget, including tracking expenses, revenue, and capital projects, ensuring fiscal responsibility
Manage office operations, including communication systems, filing, and data entry
Lead and oversee major facility maintenance and repairs
Foster positive relationships with community organizations, businesses and facilitating public input
Oversee the hiring, performance management, and employee relations for all district staff
Prepare regular reports for the Board of Wardens providing updates on key projects, and financial status
Ensure the District adheres to all state and federal laws and regulations
Required Skills and Qualifications
Strong organizational skills, attention to detail, ability to manage multiple tasks efficiently, and proficiency in office Microsoft Office and QuickBooks software
Strong understanding of budgeting principles, financial reporting, and grant writing
Excellent verbal and written communication skills to interact with volunteers, staff, community members, and the public
Ability to motivate and manage a volunteer workforce, build consensus, and make sound decisions
Education and Experience:
Associates degree required in Business Administration or related field
Minimum 5 years’ experience in administrative support or related
Familiarity with local fire district regulations and procedures
