Job Title: Intake Specialist, 20 hours per week

SUMMARY OF POSITION:
The intake specialist is the gatekeeper for entry into the Life Recovery Program. This role is responsible for overseeing the recruitment and vetting of the optimal applicant. This oversight requires strong abilities in teamwork, communication, discernment, and organization. The intake specialist will provide initial crisis management for each new resident as they enter the Life Recovery Program.
DUTIES & RESPONSIBILITIES:
Key Result Area #1: Oversee Intake Process
- Provides 2 overviews per month for potential residents at WRC and may provide resident overview at Women’s Shelter if needed.
- Fosters relationships and collaboration with outside agencies, which include: Department of Correction, Department of Health & Welfare, Medical and Mental Health providers.
- Application is processed and communication with applicant within 1 week of receiving their application.
- Conducts a preliminary assessment of each applicant and evaluates if the Life Recovery program has the right resources to meet the individual’s needs
- Follow-up with potential new residents continues until placement in program or referral is communicated.
- Ensures that the resident intake process is systematic, effective, and operates smoothly.
- Places a minimum of 10 -15 women into Next Steps each trimester and evaluated to determine ability to successfully move into phase 1 of the Life Recovery Program
- Assists in the Intake Process upon move in date and documents new resident data into Waypoint
- Collaborates with Women’s Shelter and Women’s Recovery Spokane in placement of potential residents.
- Ensure healthy and timely effective communication occurs within all departments, keeping them updated on residents’ status, move in date, child info, etc.
Key Result Area #2: Office Administration
- Utilize Office 365 to calendar interviews & meetings and track applicant progression
- Obtains signed Releases of Information from applicants
- Participates in the Outcome Based Management Process, e.g. SWOT’s, SMART goals, One-on-one’s.
- SMART WIGS (wildly important goals) are being identified and achieved that are effective in the life transformation of women and children.
- Regular team building and planning meetings are attended to discuss the effectiveness of collaboration and programming.
Key Result Area #3: VOLUNTEERS
- Providing leadership, oversight, and support for all volunteers and interns supporting the intake team
- Ensures that volunteers on the Intake team have a current job description with duties designed to contribute to the objectives of the Women’s Ministries.
- Adequate time and resources are allocated to fully train new volunteers
Expectations:
Daily
- Ensure calls/emails regarding program application and intake are answered within 24 hours
- Ensure the application tracker is updated within 24 hour
- Daily check-in regarding application process
Weekly:
- Meet with Next Steps Team
- Ensure that stakeholders (RA dept, children’s dept, clinic) receive communication regarding intakes
- 2-4 applicant interviews
- Obtain application information from outside agencies (Dept. of Correction, Health & Welfare, Medical records, etc.) as needed
- Address concerns regarding application process within 48 hours
- Lead or participate in Next Steps program activities
- Oversee intake of 1-4 women.
Monthly:
- Oversee 1-2 program orientations
- Attend meetings and trainings as needed
- Back up for Next Steps Coordinator as needed
Each Phase:
- Oversee entry of 12-16 women into the Life Recovery Program
SKILLS & QUALIFICATIONS:
- Committed Christian, able and willing to model servant-leadership and interested in being part of a ministry for the poor, homeless, drug addicted and mentally ill. Grounded in the Christian faith as a mature, active member of the body of Christ in accordance with Union Gospel Mission Statement of Purpose, Statement of Vision and Statement of Faith
- Strong Interpersonal skills - exercise compassion and discernment while modeling the teachings of Jesus Christ
- Able and willing to honor the leadership, chain of command, standards and ministry objectives of Union Gospel Mission
- Computer literate (Microsoft 365, Word, Excel, Outlook, Web Browser, Waypoint, UKG Ready HR,
- Virtuous CRM); able to complete documents, reports and accurately record information
- Excellent communication skills: written, verbal and instructional
- Must have a teachable spirit and the ability to multi-task, listen, and make sound decisions in alignment with UGM’s purpose
- Valid Washington or Idaho State Driver’s License
- Minimum three years of sobriety, if in recovery
- Insightful, trustworthy, honest, reliable, model appropriate boundaries and strong work ethic
- CPR/First Aid certification – required
- Yearly TB clearance – required
- Criminal background check clearance – required
WORKING CONDITIONS/PHYSICAL FACTORS:
- The position involves sitting at a desk or in meetings – occasionally

The position involves spending a few nights a year at our UGM camp or other facility for staff retreats, & CWC House camps - occasionally
Driving to secondary locations for meetings - occasionally - Requires working with a diverse population, many of whom struggle with homelessness, addiction and mental illness – continuously
- Requires a sustained level of high energy, stamina, and the ability to move about all of the facilities on a regular and ongoing basis – frequently

EDUCATION/EXPERIENCE
2 year’s prior related experience, or equivalent combination of education and experience; prefer mental health and substance use disorder experience
