Position Title: Special Events Assistant (temporary)
Program: PR/Fundraising/Administration
Classification: Full-time, Non-exempt
Salary Range: $23-$28 per hour
Summary and Range of Authority: The Special Events Assistant’s primary duty is to provide support and assist in the coordination of UPAC’s annual Gala.
Essential Duties and Responsibilities:
· Assist PR & Fund Raising Manager in planning all aspects of the annual Gala held in MAY, including:
• Creating and/or sending out Save the Date and Sponsorship information about the Gala
• Using social media to promote the gala
• Assisting with maintaining and updating the donor list
• Contacting potential donors for silent auction items
• Maintaining list of attendees and assisting in table assignments
• Communicating with vendors as needed
• Maintaining accurate list of silent auction items
• Assisting in packaging and pricing silent auction items
• Assisting PR & Fund Raising Manager in preparing staff volunteers who will be working at the event
• Assisting the day of the event throughout the day and during the event to ensure that all goes as planned and trouble shooting
• Assist in sending “thank you” communications to donors and attendees
• Other duties and responsibilities as requested
Requirements
Required Education, Certifications/Licenses and Language/Cultural Skills:
· Bachelor’s Degree or equivalent years of related professional experience.
Minimum Experience and Qualifications Required:
· 3-5 years experiences planning and coordinating fund raising events
· Strong organizational skills
Additional Preferred Education or Qualifications:
· Non-profit experience
Physical Demands and Work Environment:
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Spends approximately 70% of the workday working at a desk and/or computer and communicating in writing and verbally. Spends approximately 30% of the workday standing or walking within the work area or outside the office at meetings and events, also bends, twists, stoops and reaches. Regularly required to sit and talk or hear. Frequently is required to use hands to touch, handle or feel and reach with hands and arms. Occasionally lifts and/or moves up to 25 pounds. Working conditions are normal for an office environment and event venues. The noise level is usually moderate.
