We are looking for a friendly, organized, and proactive Administrative Assistant to join our team. This role offers an exciting opportunity to be the first point of contact for visitors and provide key administrative support to ensure smooth office operations.

Role Overview

As an Administrative Assistant / Front Desk Representative, you will be the face of the company, greeting visitors, managing phone lines, and providing administrative support to various departments. You will play a vital role in ensuring that our office runs efficiently while offering a welcoming environment for both clients and employees.

Key Responsibilities

  • Greet and direct visitors, ensuring a professional and friendly experience at all times.
  • Answer and route incoming phone calls, providing accurate information or redirecting calls as needed.
  • Manage office correspondence, including emails, mail, and deliveries.
  • Schedule and coordinate appointments, meetings, and travel arrangements for staff.
  • Maintain and organize office supplies and inventory.
  • Assist with various administrative tasks, including filing, data entry, and document management.
  • Maintain office cleanliness and organization, ensuring a positive environment.
  • Provide general office support, such as preparing reports, creating presentations, and assisting with special projects.
  • Support HR with onboarding and maintaining employee records.
  • Handle incoming and outgoing packages, deliveries, and shipments.
  • Assist with office events, meetings, and team-building activities.

Qualifications

  • High school diploma or equivalent; additional administrative certifications are a plus.
  • 1-3 years of experience in an administrative or front desk role (preferred).
  • Excellent communication skills, both verbal and written.
  • Strong organizational skills with the ability to manage multiple tasks efficiently.
  • Ability to maintain a positive, professional demeanor in person and on the phone.
  • Strong attention to detail and problem-solving skills.
  • Ability to work independently and as part of a team.
  • Customer-focused with a welcoming attitude.
