What are the responsibilities and job description for the Administrative Assistant position at Unistrut Service Company?
Under the direction of the Operation Manager, this position will provide administrative support for multiple departments across the company. In addition to typing, filing, and answering phone calls, performs order processing, customer service, order tracking, return processes and freight claims. This is a high customer service position with the ability to support various departments within the company. Deals with a diverse group of external callers as well as internal contacts at all levels of the company. Independent judgment is required to plan, prioritize and organize workload, recommend changes in office practices or procedures if suited.
Essential Job Functions
- Provide strong customer service and problem-solving support to internal teams, external sales representatives, vendors, and customers.
- Assist the internal and outside sales teams by managing administrative tasks and ensuring seamless communication.
- Enter sales orders accurately, track daily order progress, and follow up as needed.
- Communicate with vendors regularly to ensure timely order fulfillment and resolve any discrepancies.
- Process customer and vendor returns efficiently, ensuring compliance with company policies.
- Manage customer credits and coordinate approvals for accurate processing.
- Handle freight claims by working with carriers to resolve issues and recover costs.
- Process and maintain inventory transactions to ensure accurate records.
- Set up new customers and vendors in the system, ensuring all required information is collected and verified.
- Act as a liaison between departments to facilitate smooth operations and effective communication.
- Draft, edit, and format various documents, including general correspondence, memos, and emails.
- Maintain and update spreadsheets and reports to support business operations.
- Perform daily accounts receivable invoicing, ensuring accuracy and timely processing.

Work Environment
This position operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands
This job is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend and stand as necessary. Employee must be able to sit for prolonged periods at times while working at a computer station. Employee must be able to operate a hand-held phone.
Position Type/Expected Hours of Work
This is a full-time position. Hours of work are Monday-Friday 8am to 5pm with a 1-hour lunch from 12:00pm to 1:00pm.
Required Education and Experience
- High school diploma or equivalent
- Experience working in a distribution or manufacturing environment
- 1-2 years customer service experience
- ERP System knowledge
- Criminal Justice Background Check (state and federal)
- Drug Test (5-panel)
- E-Verify
