What are the responsibilities and job description for the Administrative Assistant position at Unitarian Universalist Urban Ministry (UUUM)?
Position Summary:
The UU Urban Ministry is seeking a highly organized and effective office administrator to support the daily activities of our nonprofit. The administrator will balance an outward facing role that includes welcoming visitors and program participants, and internal organizational tasks that help the organization run smoothly. This administrator will need to be able to take direction, and work as a cooperative and supportive team member in a diverse setting.
UUUM: The UUUM is one of the oldest faith-based social justice organizations in the country, and includes a membership of 46 Unitarian Universalist congregations in Greater Boston. We are grounded in Roxbury, and committed to celebrating and partnering within this vibrant Boston neighborhood. Currently we provide after-school programming for youth, a domestic violence shelter, a tours program, and cultural, and educational events.

Key elements of the role include:
- Staffing our entryway, and welcoming visitors from the community, tourists wanting to see our historic campus, and participants in our afterschool program.
- Giving tours of the building
- Responding to requests for space use and supporting the Director of Facilities in keeping a space-use calendar
- Directing visiting vendors such as repair people under the direction of the Director of Facilities
- Assisting new employees with paperwork including benefits enrollment and CORI/SORI checks
- Overseeing the care of office equipment including the copier and telephones; stocking and ordering supplies
- Supporting programs with data collection and data entry
- Email and verbal communication including answering phones, taking messages and facilitating communication across departments.
- Assisting with the upkeep of the hospitality area including ensuring all supplies are stocked
- Supporting the Development Office with assistance with mailings
- Supporting the Executive Director in preparation for meetings and activities including making copies, sending emails, ordering lunch and other tasks as needed.
- Keeping and organizing electronic and paper records for the Executive Director and the Board of Directors
- Helping plan and organize special staff events such as holiday parties
Job Requirements:
- Support for the mission and vision of the UU Urban Ministry

- Strong attention to detail, highly organized, self-motivated
- Understanding of how to enable the smooth running of an office and support of leadership
- Timely email responses; good writing skills
- Experience and knowledge of nonprofit sector
- Strong people skills
- Ability to multi-task and work well under pressure and time constraints
- Strong computer and data entry ability
- Computer experience
- Proficiency with Google, Microsoft and PowerPoint
- Ability to work both independently and as an integrated team member
- 3 - 5 years of experience in a professional office setting
Additional Information:

- This is a 32-hours-per-week position. Hours are typically 9-5, Monday through Thursday. On occasion, the role may require evening or weekend hours.
- All UUUM full-time employees participate in at least 3 organizational events on the annual calendar
- This is a new role at UUUM, and the person hired will start with a 30/60/90 day work plan that they will review with their supervisor to ensure their success

Salary and Benefits:
Wages: $28 per hour
