Position : Materials Specialist
Reports To : Director of OR Operations
Job Summary : This position focuses on managing inventory ordering, receiving, and coordination with the
Surgery Scheduling Team, Doctors, and Lead Surgical Tech. The Materials Specialist
plays a critical role in ensuring all surgical materials and supplies are available, accurate,
and ready for use.
Hours : 32 hours per week (0.8 FTE), Monday-Friday
Compensation : $22-$25 per hour, based on experience
Education and Experience :
- A college degree is preferred.
- At least 2 years of experience as a Materials Specialist in a hospital or Ambulatory Surgery Center (ASC)
- setting is required.
- Equivalent combination of education and experience may be considered with management approval.
- Familiarity with the healthcare industry, medical supply chain, and / or inventory management is preferred

Inventory ManagementManage the entire process of ordering breast implant devices, receiving and checking orders, pulling implants for upcoming cases, returning any unused implants, and corresponding with the finance team with all invoices and packing slips.Track and maintain accurate inventory levels for surgical and medical supplies to ensure uninterrupted operationsReceive, inspect, and stock all incoming materials, ensuring accuracy against purchase orders.Conduct regular inventory checks to identify and resolve discrepancies.Ordering and Replenishment
Handle the process for returning deflated or ruptured implants, including making claims, obtainingclaim numbers, ordering implants and return kits, requesting appropriate paperwork, and ensuring the process is completed accurately.Place orders for surgical and medical supplies based on established par levels and usage trends.Ensure timely reordering of critical supplies to prevent shortages.Communicate with vendors to confirm order details, delivery timelines, and resolve any order discrepancies.Surgical Case Preparation
Collaborate with the scheduling team, surgical technologists, and clinical staff to verify that all required supplies and implants are ready for scheduled procedures.Pull and prepare materials for upcoming cases based on surgeon preferences and procedure requirements.Ensure specialty items are ordered and available in advance of scheduled surgeries.Compliance and Quality Control
Adhere to all ASC policies and regulatory standards for handling, storing, and tracking medical supplies.Maintain proper documentation for all inventory transactions and ensure traceability of materials.Ensure sterile supplies are stored and handled according to infection control guidelines.Vendor Communication
Liaise with vendors to resolve issues such as delayed shipments, defective products, or returns.Coordinate the return or exchange of unused or defective items as needed.Data and Reporting
Use inventory management software to update records, track usage, and generate inventory reports.Assist in compiling data for inventory audits and usage analysis.Process Support and Improvement
Identify and suggest improvements to inventory workflows to enhance efficiency and reduce waste.Support the implementation of new inventory systems or processes as directed by management.Emergency Supply Management
