POSITION SUMMARY
As an integral member of the Development team, theDevelopment Coordinator will be responsible for assisting with administrative functions for the Development department. This position also provides staff support for the successful planning and goal achievement of various fund-raising events throughout the year.
WHAT YOU’LL BE DOING
- Works in close contact with Development staff, committee chairs, event volunteers and other UP staff providing administrative support and managing communication between them.
- Provides support to Development Office; answers phone and greets donors in lobby.
- Supports all direct mail campaigns with administrative tasks including sorting mailing lists, printing labels, addressing envelopes, and inventory, ordering, and maintenance of office supplies.
- Manage and maintain central Calendar, support Development staff in managing calendar and coordinate onsite meeting resources including conference room scheduling.
- Support special events, including maintaining, coordinating recruitment and registration of vendors, donors, and volunteers as needed.
- Disseminate meeting notices, event reports and updates to event volunteers, committees, and staff.
- Assist Development Director and Manager with business relations by maintaining record of and managing vendor files and grant applications. Also assist with Identifying new business opportunities as possible.
- Tracking special development programs such as silent auctions, third party fundraisers and raffles through cataloging donations, tracking donors, and maintaining historic data on these types of events.
- Perform Database entries to reflect development activities.
- Assist with production and printing of invitations, programs and other development material as needed.
- Coordinate mailing and e-mailing of all outgoing correspondence.
- Attend all meetings as required. Assist is meeting preparation including assembling collateral packets, audio/visual set up, and ordering/organizing refreshments.
- Strong interpersonal skills and capacity to be a team player. Strong personal responsibility and capacity to take initiative when necessary.
- Assist with Major Relationship database and calendar.
ESSENTIALS THAT WILL MAKE YOU SUCCESSFUL
- Experience with non-profit organizations and/or sales and ability to work with boards and donors is preferred.
- Experience with database and spreadsheet programs is required (Donor Pro a plus); strong keyboarding skills and good handwriting.
- Ability to operate basic office equipment (scan, printers, copiers).
- Ability to attend all Development events including nights, weekends and holidays as scheduled.
- Self-motivated, positive attitude, mature, professional and disciplined.
- Strong interpersonal skills and an ability to deal with the vendors, donors and other VIP’s.
- Professional phone etiquette and verbal communication.
- Highly organized with the ability to cope with two or more projects at once.
- Excellent writing and communication skills including the ability to listen.
- Ability to prioritize and budget time to meet fluctuating schedules and deadlines.
EDUCATION AND WORK EXPERIENCE REQUIREMENTS
- Associates Degree Nonprofit Management, Marketing, Communications, or commensurate experience in related field preferred.
- Minimum High School graduate or equivalent.
PHYSICAL WORK REQUIREMENTS
Must be able to sit for long periods of time and move frequently throughout the day. Will be exposed to members of the general public on a regular basis. Frequent travel for events may be required. Ability to lift, push and/or pull up to 25lbs.
