Job Summary
Incumbent works with immediate supervisor to ensure the organization’s compliance with Occupational Health and Safety Administration (OSHA) standards. The main goal is to ensure a safe working environment and reduce or prevent injuries, hazards, dangers, and accidents for visitors, members, patients and UAII staff. Additionally, will assist with overseeing the development, implementation, maintenance of, and adherence to privacy policies and procedures regarding the safe use and handling of protected health information (PHI) in compliance with Federal and State HIPAA regulations.
Job Duties & Responsibilities
- Work with supervisor to recommend, prepare, implement OHS policies and procedures, including updates (i.e., Emergency Preparedness Plan, Disaster Recovery Plan, and Business Continuity Plan).
- Prepare and analyze the monthly, quarterly, and annual incident reports accordingly; ensure proper and timely completion of workers compensation administration, including WC forms and annual OSHA reporting requirements; works with the broker contact to ensure all locations have their report data posted per guidelines.
- Administer employer incident, accident, and injury reporting, including follow-ups for all such incidents in a timely manner; develop a workflow and educate management and employees regarding the process.
- Per accreditation standards, and under the guidance of the supervisor, establish, and act as the chairperson for the ‘Health & Safety Committee’, ensuring program participation and accountability for all UAII programs; including preparation of meeting agenda, maintaining minutes, and distributing information to committee members.
- Through the guidance of the supervisor and clinical director, participate in all Quality Assurance Improvement activities to ensure overall clinical safety compliance. Serve on any QAPI committees and participate in QAPI / clinical audits as necessary,
- Coordinate with programs and designated staff to ensure protocols for health and safety matters are aligned with UAII policies and procedures, and OSHA standards.
- Verify all programs have the necessary emergency requirements in place and are up to date; including, but not limited to fire safety, emergency exits, floor plans, fire extinguishers and elevator permits are current, after hour / weekend emergency contacts are available.
- Work with HR to administer new employee onboarding training for OSHA-related health and safety standards.
- Works with the supervisor to maintain familiarity with any health and safety matters to assess risk management needs, along with ensuring preventative measures are followed based on county, state and federal law.
- Work with all programs to ensure First aid / CPR certifications and other required trainings are current for all employees needing certification; earn First Aid / CPR instructor certification to conduct in-house training for employees who are required to maintain this certification.
- Create and maintain a primary document to track all Health and Safety orientations, inspections, drills, training, etc.
- Ensure all employee-related documents (i.e., training certifications / licensing, checklists, reports, etc.) are provided to Human Resources for the official personnel file.
- Develop and maintain educational resources for patients, community members and staff to help minimize / reduce / prevent workplace accidents and injuries.
- Conduct annual training for all UAII employees as required by various program & grant regulations; including new hire Health and Safety Orientation, and other related training topics.
- Assist with arranging for ergonomics reviews / recommendations for employee workspaces, etc.
- May assist with additional training activity for the HR department, as related to accreditation guidelines for annual and regular training needs involving health and safety at UAII.
- Prepare and present reports on accidents and violations and determine causes and submit them to supervisor on a monthly basis.
- Perform other related duties as assigned by the supervisor
- Lead, guide and direct, facility and employee Community Emergency Response Team(s) and practices, (“CERT”)
