What are the responsibilities and job description for the Operations Assistant position at UNITED BUILDING MAINTENANCE INC?
The Operations Assistant will provide high-level support to Operations Supervisor and other leadership staff. Assistants must be willing to drive from property to property and may also be required to complete janitorial duties.
Supervisory Responsibilities:
- Effectively communicate with technicians, supervisors and/or tenants, if necessary, and assist with field phone calls and emails to answers questions, provide service updates or report issues within job sites.
- Responsible for taking before and after pictures at each job site and assist with inspection reports to ensure performance meets established standards.
- Determine appropriate cleaning materials, supplies, tools, and equipment needed to accomplish the job.
- Train new janitors on all safety protocol and proper expectations of scope of work and equipment processes.
- Assist with rescheduling jobs based on urgency, disruptions or unforeseen complications.
- Assist with daily reports, including attendance and supply orders.
- Ensures that cleaning and maintenance supplies are stocked, and order supplies as needed.
- Performs other duties as assigned, including janitorial duties, especially during short-staffed periods.
- Maintain confidentiality of sensitive information.
Janitorial Responsibilities:
- Performs cleaning tasks and services throughout assigned properties.
- Picks up trash and empties trash containers around the property, common areas and restrooms.
- Cleans and sanitizes countertops, sinks, toilets and urinals.
- Keeps common area furniture and fixtures, including drapes and windowsills dust free.
- Cleans windows and removes cobwebs from exterior window frames on first floor.
- Sweeps/mops floors, vacuums carpeted floors with a backpack vacuum (approx. 15 lbs.).
- Examines property for safety hazards, reports problems to property manager or other appropriate staff.
- Modifies scope of cleaning and maintenance based on specified needs of the particular property.
- Must be able to work flexible schedule, including weekends, as needed.
Qualifications / Skills & Abilities:
- Must pass a background check.
- Must have a valid Drivers License and good driving history.
- Ability to communicate verbally and in writing and be able to read/take and give instructions in both English and Spanish.
- Good interpersonal skills with polite and courteous demeanor towards staff, customers, clients, and visitors to the properties.
- Thorough understanding of safety hazards and proper use of various cleaning and sanitizing solutions.
- Detail-oriented and thorough with ability to keep the properties clean and orderly.
- Ability to perform basic repairs and operate tools or equipment used in routine maintenance.
Physical Requirements:
- Prolonged periods of standing, walking, bending and stooping.
- Must be able to climb, reach, and lift up to 30 pounds at a time.
