Reports to: Director of Residential Services
Rate of pay: $20.10 - $23.23 per hour
Work schedule: Full-time, 37.5 hours per week. Monday - Friday, 8:00 AM - 4:00 PM, with occasional flexibility based on the needs of the organization. No weekends, no evenings, no major holidays.
Position Summary:
This position shall support the Residential Services program by coordinating and performing the administrative activities of the day-to-day operations. This position will apply professional administrative knowledge and skills to assist in ensuring efficient operations within the program and is responsible for the administrative and clerical duties of the program, including but not limited to preparing outgoing communications/correspondence, answering and managing incoming calls and communications, and coordinating schedules and meetings.
Primary Responsibilities:
- Draft, transcribe, and edit correspondence, communications, and program documents. Proofread for spelling, grammar, and layout and make appropriate changes. Responsible for the accuracy and clarity of the final copy.
- Monitor, screen, respond to, and distribute incoming communications, including calls and emails for Residential/Family Services.
- Assist in reviewing and updating timecards in preparation for biweekly payroll for the Residential program.
- Receive, sort, and deliver mail.
- Coordinate calendar/schedule and meetings for the Director of Residential Services.
- Assist with the creation and distribution of a Residential staff contact list.
- Contact consumers/advocates receiving services monthly for accountability of services.
- Coordinate supply orders and arrangements for repairs to office equipment.
- Prepare and mail out requests for bids and contracts for Assistive Technology.
- Track vehicle information, including logs.
- Some reception and phone coverage of other departments
- Coordinating and assisting with online training for new staff
- Perform other clerical duties as requested by the Director of Residential Services or designee.
- Associate degree in an office or business field is required.
- 1-3 years of previous office experience preferred.
- Excellent verbal and written communication skills.
- Must be able to interact and communicate with individuals at all levels of the organization.
- Must be proficient in Microsoft Office, including Outlook, Word, and Excel.
- Ability to lift and carry up to 25 lbs.
- Excellent hand-eye coordination
- Ability to sit for long periods of time
- Ability to tolerate extensive exposure to computer monitor/screen
- Ability to tolerate extensive use of computer keyboard.
