WHAT WE’RE OFFERING
The People & Culture (P&C) Coordinator provides essential administrative, operational, and general HR support to the P&C team. This position serves as a vital point of contact for employees, assists with various HR functions, and contributes to a positive and efficient employee experience. The People & Culture Coordinator is responsible for facilitating transactional activities of the employee life cycle from onboarding to off-boarding and is a stepping stone to a career as an HR Generalist.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Duties include the following, but other duties may be assigned as required.
Employee Lifecycle Management:
- Responsible for processing new hires, job changes, terminations, and other transactions.
- Facilitates new hire orientation and related new hire activities and training.
- Serves as a resource for new hires and their managers, providing answers and necessary resources to facilitate successful onboarding.
- Facilitates the new hire experience survey.
Administrative Support:
- Maintain accurate employee records and HR databases.
- Prepare and process HR-related documents, including offer letters, onboarding materials, and termination paperwork.
- Manage and organize department files and records.
- Develop and maintain HR SOPs, training guides, etc.
- Coordinates and sends P&C and employee updates and/or announcements from the P&C mailbox.
- Administers key card access/badging process for corporate office employees.
- Collaborate with the Executive Assistant on employee events.
Training Support:
- In coordination with the P&C Generalist and/or P&C Manager, assists with the development of training collateral, such as agendas, PowerPoints, or LMS content.
- Assist in facilitating HR training content for employees.
Employee Relations:
- Serve as a first point of contact for employee inquiries and requests.
- Assist with resolving minor employee relations issues and escalate complex matters to the P&C Generalist or P&C Leadership.
- Guide employees on company policies and procedures.
Payroll and Benefits:
- Manage payroll deductions for benefits, garnishments, and other authorized withholdings.
- Assist with benefits administration, including enrollment, changes, and inquiries.
- In coordination with the P&C Generalist, coordinates annual open enrollment details.
- Address employee questions related to payroll and benefits.
Vendor and Uniform Management:
- Manage relationships with HR-related vendors, including background check providers and uniform suppliers.
- Process and track uniform orders and inventory.
Compliance and Screening:
- Manage background checks and drug screening processes for new hires.
- Schedules and tracks quarterly random drug screens.
- Ensures compliance with federal and state laws and regulations.
Talent Acquisition Support:
- Conduct initial phone screens for candidates and/or on-site interviews when necessary due to bandwidth or staffing needs.
- Assist with scheduling and coordinating interviews.
- In coordination with the executive assistant, plan travel for non-local candidates.
HR Systems Management:
- Assist with the management of HR systems, including HRIS (e.g., BambooHR), LMS, Cooleaf, eLation Reach and Financials, and ATS.
- Support the management of external systems such as Bank of America, Employee Navigator, etc.
- Provide basic troubleshooting and user support for HR systems.
- Assist with data entry, updates, and reporting within HR systems.
- Maintains data integrity within the HRIS/HCM system.
- Provides scheduled and ad-hoc reports; responds to data requests from HR leaders and other departments.
HR Invoice Management:
- Reconcile invoices with purchase orders and budget allocations.
Communication and Interaction:
· Interacts effectively with internal and external constituents at all levels.
WHAT YOU BRING
• Bachelor’s degree in human resources, business or related field, or High school diploma and related administrative experience required.
• Excellent interpersonal communication and customer service skills.
• Strong organizational skills and attention to detail.
• Excellent time management skills with a proven ability to meet deadlines.
• Ability to function effectively in a fast-paced environment with ever-changing priorities.
