DUTIES
Oversees the in person full time day-to-day operations of the office, including maintaining current Agency Representative files, answering phone calls, preparing and maintaining the Agency's payroll, and Managing Office staff.
RESPONSIBILITIES
1. Opens office.
2. Maintains all Agency Representative files up to date, including new hire paperwork, and sends notices to Agency Representatives regarding expired documentation.
3. Maintains and organizes medical records in our EMR database and paper charts in accordance with the Agency’s protocol
4. Uploads progress notes into the EMR databases to allow for timely processing of payroll, contractor pay, and billing
5. Audits caregiver invoices for inconsistencies
6. Reviews payroll reports and submits accurate spreadsheet with details for Agency Representative pay.
7. Maintaining an accurate list of client demographics
8. Managing schedules
9. Inputting new patient information
10. Maintains confidentiality of all patient and Agency Representative information
11. Maintain client confidentiality in accordance with HIPAA
12. Follows all Agency policies and procedures
JOB CONDITIONS
1. capable of meeting deadlines.

3. It is primarily a desk job which essentially involves sitting, standing, stooping and walking, as well as an inordinate amount of telephone and electronic communication
4. Travel is required, by car or airplane to local, out-of-town or state seminars, conferences or meetings
5. Regular office hours are required
EQUIPMENT OPERATION
The job requires the ability to utilize a PC, calculator, multi-line telephone, document scanner, and other related office equipment.
COMPANY INFORMATION
Has access to all client records and Agency Representative contractor records, which may be discussed with all Management staff, including the Governing Body.
QUALIFICATIONS
1. High school diploma or equivalent
2. Experience as an office manager, managing staff, or commensurate experience that would ensure capability to perform the job duties, preferably in the health-care field
3. Should be a skilled organizer, able to manage office files, office equipment and staff.
4. Must pass a criminal background check and drug screen
