Administrative Coordinator/Administrative Specialist

Duties
Manage and coordinate appointment scheduling across time zones
Handle sensitive information with discretion and confidentiality
Build strong relationships with clients and colleagues, demonstrating high emotional intelligence
Coordinate and schedule appointments, meetings, and travel arrangements
Handle incoming calls, emails, memos, letters, and other communications
Prepare and edit reports, presentations, and meeting agendas
Take detailed meeting minutes and distribute accordingly
Maintain organized contact databases and filing systems
Welcome and assist office visitors and clients professionally
Act as a liaison between clients, staff, and management
Review and maintain office policies, procedures, and compliance documents
Required Qualifications
Strong knowledge of office management systems, procedures, and equipment (e.g., printers, fax machines)
Proficiency in MS Office, particularly Excel, PowerPoint, and Outlook
Exceptional time management, problem-solving, and organizational skills
Excellent written and verbal communication with strong attention to detail
Ability to handle multiple tasks and prioritize effectively
High school diploma required; associate's or bachelor's degree or relevant certification is a plus
