Job Overview:
The Volunteer Manager is a key member of our dynamic team, responsible for overseeing the day-to-day management of volunteers and supporting the back-office operations. This role blends volunteer coordination with logistics duties, helping ensure that our operations run smoothly while providing critical support to both volunteers and staff. This is a hands-on position where you will actively engage with volunteers, assist with office management tasks, and contribute to the smooth running of our food bank.
Key Responsibilities:
Volunteer Coordination:
· Recruitment & Training: Assist in recruiting and onboarding new volunteers, ensuring they are properly trained and understand their roles within the food bank.
· Scheduling: Coordinate and manage volunteer schedules to ensure adequate coverage for all shifts and activities. Adjust schedules as needed based on demand.
· Engagement & Retention: Foster a positive, inclusive environment for volunteers, ensuring they feel supported, valued, and engaged in their work. Provide regular feedback and guidance.
· Communication: Serve as the primary point of contact for volunteers, providing clear instructions, answering inquiries, and addressing concerns. Maintain open communication channels.
· Recognition: Assist in organizing volunteer appreciation events, initiatives, and recognition programs to acknowledge the contributions of our volunteers.
· Evaluate: Work and communicate with volunteers on what their backgrounds are and where they can be best used within the organization.
Back Office Management:
· Administrative Support: Assist with daily administrative tasks including answering phones, handling correspondence, managing files, and maintaining volunteer records.
· Data Management: Maintain and update volunteer databases, track volunteer hours, and provide reports as needed for management and grant purposes.
· Inventory Management: Help with back-end tracking of food donations, supplies, and equipment, ensuring that stock levels are monitored and replenished.
· Operational Support: Assist the operations team with the daily flow of food donations and distribution to ensure the efficient and smooth running of the food bank.
· Process and Compliance: Ensure that procedures are being followed and in compliance with operation protocols.
Skills & Qualifications:
· Experience: Previous experience in volunteer coordination, office administration, or customer service is preferred. Experience in a nonprofit or food bank environment is a plus.
· Organizational Skills: Strong organizational and time-management skills with the ability to prioritize multiple tasks and manage competing deadlines.
· Communication: Excellent verbal and written communication skills, with the ability to communicate effectively with people from diverse backgrounds.
· Problem Solving: Ability to troubleshoot and resolve issues as they arise, with a calm and proactive approach.
· Teamwork: Ability to work collaboratively in a team-oriented environment while being comfortable with both independent and group tasks.
· Compassion & Empathy: A passion for serving the community, with a compassionate approach to both volunteers and clients.
Work Environment & Schedule:
· Ability to lift and carry moderate loads (up to 25-50 lbs) as needed for event setup or food distribution.
· A fast-paced, dynamic work environment where every day is different.
· Ability to use a pallet jack and forklift preferred.

Job Type: Part-time
Pay: $16.00 - $18.00 per hour
Expected hours: 25 per week
Schedule:
- Evenings as needed
- Monday to Friday
- Weekends as needed
