Position Summary :

The Executive Assistant & Office Manager at United Returning Citizens (URC) plays a crucial role in supporting the executive team and ensuring the smooth operation of daily office activities. This position combines administrative, organizational, and managerial responsibilities to ensure that the office runs efficiently and effectively. The Executive Assistant & Office Manager will handle a range of duties, including calendar management, correspondence, office supplies, and coordination of meetings and events. In addition, this role involves maintaining the organization's office environment, managing internal communications, and assisting with administrative tasks related to programs and client services.

Key Responsibilities :

I. Executive Support :

  • Calendar & Scheduling Management :

Coordinate and manage the schedules of the executive director, ensuring efficient time management and timely response to appointments, meetings, and deadlines.

  • Schedule and coordinate meetings, conference calls, and appointments, including preparing agendas and materials.
  • Communication Support :
  • Manage incoming and outgoing correspondence, including emails, phone calls, and mail for the executive director.

  • Prepare and proofread documents, presentations, and reports as needed.
  • Travel & Event Coordination :
  • Arrange travel accommodations and itineraries for the executive team.

  • Organize meetings, conferences, and special events, including managing logistics, catering, and participant communication.
  • II. Office Management :

  • General Office Operations :
  • Oversee day-to-day office operations, including managing office supplies, equipment, and maintaining an organized office environment.

  • Handle office equipment maintenance and troubleshooting, ensuring the office runs smoothly.
  • Document Management :
  • Organize, file, and manage both physical and digital records, ensuring compliance with URCs record-keeping policies.

  • Maintain confidentiality of sensitive materials and client-related documentation.
  • Reception & Client Interaction :
  • Greet and direct visitors and clients in a professional and welcoming manner.

  • Answer phone calls, route inquiries, and manage office emails to ensure timely responses to all inquiries.
  • III. Administrative Support :

  • Program Support :
  • Assist the executive director with administrative tasks related to URC programs, client services, and internal communications.

  • Help with data entry, report preparation, and maintaining client files and records.
  • Financial & Budgeting Support :
  • Assist with basic bookkeeping tasks, including managing invoices, purchase orders, and processing reimbursements.

  • Support in tracking office-related expenses and preparing financial reports for the executive.
  • IV. Human Resources & Staff Coordination :

  • Staff Communication :
  • Support the communication of internal policies and procedures to staff.

  • Help coordinate staff meetings, training sessions, and team-building events.
  • Employee Onboarding :
  • Assist with the onboarding process for new employees, including preparing materials and coordinating orientation sessions.

  • Maintain and update staff directories and employee records as needed.
  • V. Community & Partner Coordination :

  • External Relations :
  • Manage relationships with community partners, vendors, and other external stakeholders.

  • Coordinate logistics for community outreach programs and partner meetings.
  • VI. Special Projects & Other Duties :

  • Project Assistance :
  • Support special projects, initiatives, and organizational changes as assigned by the executive team.

  • Carry out additional duties as needed to ensure the efficient functioning of the office and support URCs mission.
  • Qualifications & Skills :

  • Administrative Experience :
  • Proven experience as an Office Manager, Front Office Manager or Administrative Assistant.

  • Knowledge of Office Administrator responsibilities, systems and procedures
  • Organizational Skills :
  • Strong ability to prioritize tasks, manage multiple responsibilities, and meet deadlines in a fast-paced environment.

  • Communication Skills :
  • Excellent verbal and written communication skills, with the ability to interact professionally with internal and external stakeholders.

  • Technology Proficiency :
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Google Workspace, and other office software.

  • Hands on experience with computers, office machines (e.g. fax machines and printers)
  • Familiarity with office management software and databases is a plus.
  • Problem-Solving & Initiative :
  • Strong problem-solving skills with the ability to take initiative and address issues proactively.

  • Confidentiality & Integrity :
  • Ability to handle confidential and sensitive information with discretion and professionalism.

  • Attention to Detail :
  • High attention to detail, accuracy, and thoroughness in administrative tasks and communication.

  • Work Environment :
  • Ability to work independently and as part of a team in a fast-paced, dynamic environment.

  • Transportation & License :
  • Reliable personal transportation and a valid drivers license are required for occasional errands or off-site tasks.
