About the Role:

The Administrative Assistant plays a crucial role in ensuring the smooth operation of our office within the Tradeshow cleaning industry. This position is responsible for providing comprehensive administrative support to various departments, facilitating effective communication and organization. The successful candidate will manage billing services, maintain calendars, and coordinate travel arrangements, contributing to the overall efficiency of the team. By handling general clerical tasks and operating multi-line phone systems, the Administrative Assistant will help create a welcoming and productive environment. Ultimately, this role is vital in supporting our staff and enhancing the customer experience through effective administrative practices.

Minimum Qualifications:

  • Proven experience in an administrative role or similar position.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to sit for long periods of time
  • Must be able to work independently or with a partner
  • Capable of lifting, bending, stooping, pushing & pulling heavy loads
  • Must be able to lift and/or carry thirty (30) to fifty (50) pounds

Preferred Qualifications:

  • Experience in the tradeshow industry.
  • Familiarity with billing software and office management systems.

Responsibilities:

  • Manage billing services, ensuring accuracy and timely processing of invoices.
  • Maintain and organize calendars for team members, scheduling meetings and appointments as needed.
  • Coordinate travel arrangements, including booking flights, accommodations, and transportation.
  • Answer and direct calls on a multi-line phone system, providing excellent customer service to clients and visitors.
  • Perform general clerical duties such as filing, data entry, and maintaining office supplies.

The required skills are essential for the daily operations of the Administrative Assistant role. Proficiency in billing services ensures that financial transactions are handled accurately, which is critical for maintaining the company's financial health. General administrative skills, such as maintaining calendars and managing travel arrangements, allow for seamless coordination among team members.
