They are primary responsible for the implementation and administration of the EHR system in the Sports Medicine department. They audit and validate the EHR software, collaborating with IT to ensure it meets systems requirements of healthcare teams and athletes, ensuring efficient and secure functionality. Additionally, they streamline and templatize data workflows for scalability, prepare medical charts in advance of patient visits, and provide technical support for troubleshooting issues within the system. Data Management & Maintenance
- Maintain and administer Electronic Health Records. Ensure the accurate, secure, and up-to-date management of all digital health records within the EHR system. This includes maintaining patient profiles, ensuring confidentiality, and safeguarding data while supporting efficient access for appropriate medical staff.
- Configure and test EHR software. Ensure the functionality and effectiveness of the EHR system by conducting thorough testing and auditing. Configure and validate data permission rules. Collaborate with IT to guarantee the system meets the requirements of healthcare teams and athletes, functioning seamlessly for both clinical and data-driven purposes.
- Develop and refine digital templates for various administrative and clinical needs to streamline workflows, improve efficiency, scale solutions, and reduce errors.
- Prepare medical charts, ensuring that charts and intake forms are completed ahead of patient visits, ensuring healthcare providers have accurate and up-to-date information readily available.
- Create and conduct training for clinical staff on using the system effectively. Provide ongoing education to ensure staff are up to date on software updates and best practices for using EHR tools.
- Act as a reliable resource for troubleshooting and resolving technical issues related to the EHR and other data systems. In collaboration with IT, offer guidance to healthcare providers navigating technical difficulties, ensuring minimal disruption to patient care.
- Implement and oversee solutions in the EHR system to manage clinic operations workflows, including volunteer evaluations, USOP Medical Network processes, and clinic utilization trends.
- Develop and maintain regular risk assessments, audits, and compliance reports related to Sports Medicine data. Perform quality assurance audits and address technical inquiries promptly.
- Analyze and resolve technical service requests.
- Manage and implement changes to survey tools, consulting with the Sports Medicine Data Scientist and Research teams to ensure accuracy and reliability.
- Serve as the primary point of contact for sports medicine providers, sports science professionals, National Governing Bodies (NGBs), and athletes regarding the functionality and use of the EHR.
- Support the deployment of Health Histories and other appropriate surveys (e.g. SMHAT) prior to an athlete’s arrival on campus.
- Ensure necessary data from other USOPC systems is integrated with the EHR.
- Collaborate with the Sports Medicine Data Science and Research teams to enable analysis and reporting of EHR data.
- Ensure a positive user experience for EHR and Athlete 360 users by providing exceptional customer service, responding to requests in a timely manner, and ensuring reports meet the specified objectives.
- Continuously improve departmental and organizational data systems and processes, making them more efficient and standardized for future use.
- Perform other duties as assigned to support the ongoing success of the Sports Medicine and Performance Analytics teams.
- Bachelor’s degree in Exercise Science, Sports Medicine, Computer Science, Data Science, Sports Analytics, or a related field
- Master’s degree in the above specialties preferred
- Clinical degree in Physical Therapy, Athletic Training, or similar also preferred
- 3 years of experience in managing and optimizing AMS systems, with a strong understanding of patient data management and system configuration
- Proficiency in programming languages such as R, Python, SQL, and JavaScript/JSON for data analysis and tool development
- Proficiency in Microsoft Office software (e.g., PowerPoint, Word, Excel, etc.)
- Experience with data integration and analysis platforms like Tableau, Qualtrics, and EHR systems
- Expertise in configuring, testing, and developing templates within EHR software to optimize clinical workflows; experience with or certification in Teamworks is a plus
- Strong communication skills to effectively relay technical information to diverse stakeholders, including clinical practitioners, researchers, and athletes
- Ability to manage multiple projects in a fast-paced environment and contribute to data-driven decision-making processes
- Ability to deal with non-routine matters and special projects with minimum and/or specific instructions
- Passion for Team USA and the ideals of the Olympic & Paralympic movement
- Thorough knowledge of HIPAA regulations and data security practices

Here's Some More Information You Need To Know
- Hiring Pay Range: $56,500 - $65,482 per year.
- This full-time, exempt position is intended to work 40 hours per week.
- Bonus: This position will be eligible for the Annual Incentive Award Program, which has a 10% target. The USOPC may change or eliminate this program at any time at its sole discretion.
