Position Summary:

The Provider Recruitment Coordinator will work closely with the Manager of Physician and APP Recruitment to support the full recruitment lifecycle for physician and APP candidates. This role involves coordinating on-site interviews, arranging candidate travel, processing reimbursements, assisting with new hire onboarding, and tracking referral bonuses, among other responsibilities. You will play a key role in ensuring a smooth and efficient recruitment and onboarding experience for candidates and practices alike.

Primary Duties & Responsibilities:

Clerical Support:

  • Support the full recruitment lifecycle for physician and APP candidates
  • Work with local practice affiliates to facilitate virtual and on-site interviews, ensuring a seamless experience for candidates.
  • Coordinate and manage all logistics for candidate interviews, including booking travel (flights, hotels, and transportation) and scheduling meetings. Coordinate on-site interview schedules with candidates and practice affiliates to ensure smooth logistics for both in-person and virtual interviews.
  • Prepare and maintain interview packets, ensuring all necessary documents and details are organized.
  • Process candidate reimbursements promptly, ensuring accuracy and adherence to company policies.
  • Submit term sheet requests and Physician employment requests to ensure timely processing of hiring documents.

Onboarding & New Hire Support:

  • Coordinate welcome events, including dinners, to foster a positive experience for new providers.
  • Assist with creating and maintaining new hire orientation schedules, ensuring that all necessary components of orientation are covered.
  • Assist in managing onboarding checklists and tracking new hire surveys to ensure a smooth transition.
  • Track and report on Physician referral bonuses, ensuring accurate documentation and timely payouts.
  • Support Paycom-related provider requests related to new hire sign-on bonuses.

General Administrative Assistance:

  • Provide administrative support as needed to ensure the success of recruitment efforts.
  • Maintain and update Monday.com ATS to track candidate progress.
  • Communicate consistently with candidates, hiring teams, and key stakeholders at local practices throughout the recruitment and onboarding process.

Qualifications:

  • Bachelors degree in human resources, Healthcare Administration, or a related field, preferred.
  • 1-2 years of experience in healthcare recruiting or administrative support.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with Applicant Tracking Systems (ATS).
  • Experience working with HR platforms is a plus.
  • Strong organizational skills and attention to detail, with the ability to coordinate multiple moving pieces at once.

  • Strong interpersonal, written, and verbal communication skills.
  • Highly organized with exceptional attention to detail and the ability to manage multiple tasks simultaneously.
  • Ability to efficiently coordinate logistics for interviews, travel, and onboarding activities.
  • Strong problem-solving skills with a proactive approach.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Adaptable and able to thrive in a fast-paced, dynamic environment.
  • Collaborative team player with the ability to work independently when needed.

Tech Requirements for the Job:

  • High-speed, reliable internet connection to ensure uninterrupted communication and access to necessary systems and tools.
  • Quiet and private work environment to maintain confidentiality and minimize background noise during calls.
  • Proficiency in using remote collaboration tools, such as video conferencing software, instant messaging platforms, and customer relationship management systems.
  • Compliance with all security and privacy policies and protocols, including safeguarding patient information and maintaining HIPAA compliance.

Travel:

  • Must have the ability & willingness to travel to other sites as necessary within a geographic region.

Physical Requirements for the Job:

  • Regularly required to sit and stand for extended periods.
  • Involves standing, sitting, walking, bending, stooping, and twisting.
  • Requires full range of body motion, including manual and finger dexterity and eye-hand coordination.
  • Occasionally lifts and carries items weighing up to 20 lbs.
