Responsibilities

The Corporate Receptionist/Administrative Assistant is responsible for managing the front desk area at the corporate office and supporting administrative tasks and projects for various teams as they arise.

  • Greet all visitors in a warm and friendly manner, check them in, and notify the person with whom they are meeting.
  • Issue and track badge access for visitors.
  • Oversee incoming and outgoing package/mail and food deliveries.
  • Receive, review, and distribute daily mail/packages.
  • Order, restock, and refill breakrooms, conference rooms, and general office supplies as needed throughout the day.
  • Support shared services teams including Supply, HR, Scheduling, Patient Engagement, and Facilities.
  • Keep breakrooms and conference rooms tidy and clean. This includes servicing and preparing the coffee machines, stocking the executive refrigerator, cleaning the breakroom refrigerators, restocking all supplies in all the home office break rooms (3 total).
  • Assist all departments with projects/administrative tasks as needed.
  • Support Executive Leadership team with special tasks or projects.
  • Assist with special events, employee events, and other activities that may occur throughout the year.

  • Maintain the confidentiality and security of Protected Health Information (PHI) in accordance with UVVC policies, the Health Insurance Portability and Accountability Act (HIPAA), and other applicable laws and regulations. PHI is a top priority of our organization.
  • Perform other related duties as assigned.

Qualifications

  • HS Diploma or GED required.
  • Must possess a warm, friendly, and courteous demeanor.
  • Must be polished and professional at all times.
  • Ability to work an 8:00am-5:00pm schedule, Monday-Friday in the office.
  • Intermediate competency level using Microsoft Office Suite, including Outlook, Word, and Excel.
  • Able to embrace and adapt to new system technologies to support the business.
  • Detail oriented and ability to maintain a high level of confidentiality.
  • Able to multi-task in an, at times, fast-paced environment.
  • Possess strong written and verbal communication skills.
  • Highly dependable; able to meet reliable attendance and punctuality standards for the role.
