Responsibilities

The Medical Call Center Scheduler is responsible for helping patients via inbound and outbound calls, emails, texts, and web chats. Primary duties of this role include scheduling patient appointments, giving pre and post appointment instructions, and supporting UVVC vein and vascular clinics throughout the nation.

  • Contact prospective patients for an initial visit at a UVVC location, initiated by a physician referral or patient internet inquiry or web chat.
  • Receive inbound calls from prospective and existing patients and work to schedule initial visit, ultrasound scans, vein and/or arterial procedures, or reschedule current appointments.
  • Answer patient questions regarding pre and post appointment procedures, insurance, authorizations, and general medical questions.
  • Contact existing patients to schedule scans, procedures, or follow up visits and support and improve patients’ overall experience.
  • Participate in team meetings to review new processes, policies, services, and other important information.
  • Interact with other internal departments to ensure the highest standard of patient care.
  • Document and maintain accurate records in multiple systems such as Salesforce CRM and the electronic medical record (EMR) of all cancellations, no shows, and potential patients that did not book an appointment.
  • Utilize numerous tools to provide accurate information to patients.
  • Update all records in the EMR and Salesforce CRM to include the primary care physician, patient demographic information, and encounters.

  • Maintains the confidentiality and security of Protected Health Information (PHI) in accordance with UVVC policies, the Health Insurance Portability and Accountability Act (HIPAA), and other applicable laws and regulations. PHI is a top priority of our organization.
  • Other duties as assigned.

Qualifications

  • High School Diploma or GED required.  Some college preferred.
  • 2 years in call center, customer service, or sales preferred.Healthcare or medical experience preferred.
  • Navigate multiple software systems such as EMR, CRM, MS Outlook, and other computer platforms.
  • Excellent written and verbal communication skills.
  • Medical terminology understanding is a plus.
  • Bilingual is a plus.
