Job Overview
The 211 Program Management Assistant is a dynamic, multifaceted role designed to support the administrative, technical, and operational needs of various programs and initiatives across United Way organizations, state agencies, communities, and other non-profit organizations. This individual will leverage their technical expertise, communication skills, and problem-solving abilities to enhance program delivery, training, and interdepartmental collaboration. The role requires flexibility in travel, ethical decision-making, and the capacity to respond to emergencies as needed.
Key Responsibilities
- Provide a wide range of administrative and programmatic support to various projects and initiatives, including data entry, scheduling, and documentation. Ensure program operations run smoothly, and deadlines are met.
- Presentation and Training Development: Support the design, development, and delivery of high-quality presentations, training materials, and resources to staff, stakeholders, and community members. Assist with the facilitation of training sessions both virtually and in-person on program guidelines, technical systems, and procedures.
- Technical Proficiency: Utilize various software tools (e.g., Microsoft Office Suite, Google Workspace, SharePoint, project management platforms) to track program progress, generate reports, and support communication efforts. Support technical aspects of program delivery, ensuring systems are functioning effectively.
- Stakeholder Engagement: Serve as a liaison between multiple agencies, departments, community organizations, and non-profit partners. Facilitate communication and collaboration to ensure programs meet stakeholder needs and objectives.
- Travel & On-Site Support: Travel statewide to support program operations as needed. Support site visits, coordinate logistics, and manage relationships with local stakeholders.
- Problem-Solving & Decision Making: Use critical thinking and analytical skills to identify and resolve issues in a timely and effective manner. Apply ethical decision-making frameworks in situations requiring judgment, ensuring compliance with relevant policies and regulations.
- Emergency Response Support: Be available to assist in emergencies outside of regular hours, as needed. Provide timely support in critical situations, coordinating with the necessary teams and stakeholders.
Required Qualifications
- Education & Experience: Bachelor’s degree in business administration, public administration, non-profit management, or related field, or equivalent combination of education and experience. Minimum of 2 years of experience in an administrative or programmatic support role, ideally within government, public sector environments, or non-profit organizations.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace, SharePoint, and other relevant software tools. Familiarity with project management tools and training platforms a plus.
- Presentation & Training: Demonstrated experience in designing and delivering presentations, training sessions, and educational materials for diverse audiences.
- Communication Skills: Exceptional verbal and written communication skills. Ability to engage with stakeholders at all levels, including senior leadership, community groups, non-profit organizations, and external partners.
- Problem-Solving & Ethics: Strong problem-solving skills and the ability to make sound decisions under pressure. Proven ability to exercise sound judgment, confidentiality, and ethical decision-making.
- Travel & Flexibility: Must be willing and able to travel statewide, occasionally requiring overnight stays. Flexibility to respond to on-call emergencies, as necessary.
Preferred Qualifications
Experience working with state or local government agencies and non-profit organizations. Knowledge of program management or public sector operations, particularly within a non-profit context. Bilingual skills are a plus.
Physical & Environmental Requirements
Ability to lift and carry up to 25 pounds for event setups or materials distribution. Ability to travel statewide and engage in both office and field settings. Some extended hours may be required in emergency situations or high-demand periods.
