We are seeking a dedicated and experienced Director of Executive Support to provide high-level administrative and strategic support to our client, an Executive Director of a nonprofit that aims to arm individuals in the community with tools to thrive. This role requires exceptional organizational, communication, and leadership skills, as well as the ability to manage office operations, oversee projects, and collaborate with C-level executives. The ideal candidate will be a proactive, resourceful, and detail-oriented professional who thrives in a fast-paced environment and is comfortable navigating high-profile and high-stakes situations.
Key Responsibilities
Executive Support
- Oversee, manage, and creation of complex calendars, schedules, and travel arrangements for the Executive Director / CEO and senior staff.
- Prepare agendas, correspondence creation, facilitate meetings, and track follow-ups to ensure organizational priorities are achieved.
- Handle confidential correspondence with discretion, ensuring timely and accurate communication with internal and external stakeholders.
- Event planning and preparation of the Executive team.
Strategic Research and Analysis
Conduct in-depth research and compile comprehensive reports on industry trends, competitive insights, and strategic opportunities.Synthesize information to provide actionable recommendations for decision-making processes.Support the development of presentations, proposals, and high-level documentation with precision and professionalism.Project and Office Management
Lead the planning and execution of key organizational projects, ensuring alignment with goals and timelines.Manage office operations, including procurement, record-keeping, and creating a productive workplace environment.Develop and implement efficient systems for tracking and monitoring progress across multiple projects.Networking and Relationship Building
Serve as a trusted liaison between the Executive Director / CEO and key stakeholders, including board members, clients, and industry leaders.Foster and maintain professional relationships that enhance the organizations profile and opportunities.Handle media engagements and interactions with high-profile individuals with tact and professionalism.Team and Event Coordination
Organize and oversee organizational events, meetings, and conferences, managing all logistics and materials.Provide mentorship and leadership to administrative staff, fostering a collaborative and high-performing team environment.Ensure smooth coordination and communication across all levels of the organization.Qualifications Experience
Masters Degree required or Bachelors Degree with 5 yrs experience.Experience in a senior-level executive support or administrative leadership role.Demonstrated success in supporting C-level executives in a dynamic and high-pressure environment.Strong experience in managing high-profile relationships and sensitive information.Skills
Exceptional written and verbal communication skills, with the ability to produce professional, polished materials.Advanced organizational and multitasking abilities, ensuring efficiency and precision in a fast-paced setting.Strong research and analytical skills, with the ability to synthesize data into actionable strategies.Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Canva, and CRM platforms.Adept at problem-solving, critical thinking, and navigating ambiguous situations.Personal Attributes
