Job Description
Receives, processes, and maintains files and records for applicants and employees of the district. Monitors access to human resource (HR) records and maintain proper security and confidentiality.
Responsibilities:
File Management
1. Maintain files for all employees and applicants, including receiving and routing of changes (e.g., name, address changes).
2. Receive and process applications, including verifying completeness of files, sending acknowledgment cards, and notifying those not selected for employment.
3. Process requests for official district records, including maintaining a log of requests for records, retrieving documents, copying, and mailing records.
4. Enter and update employee information in the central database.
5. Respond to requests for verification of employment.
6. Prepare and maintain employee service records.
7. Manage the records storage and destruction process for the HR records following established records retention schedule and requirements of the Texas State Library and Archives Commission.
8. Assist with the purging of records and coordinate microfilming of inactive HR records.
Reports and Correspondence
9. Prepare and distribute job vacancy announcements and advertisements.
10. Assist with the preparation of staff directories.
11. Prepare correspondence, forms, records, and reports using a personal computer.
12. Compile pertinent data as needed when preparing various federal, state, and local reports.
Other
13. Assist with the preparation and distribution of employment contracts.
14. Maintain confidentiality.
Supervisory Responsibilities:
None.

Personal computer, printer, copier, fax machine, shredder, and microfilm reader.

Mental Demands/Physical Demands/Environmental Factors:
Frequent walking, standing, stooping, bending, and reaching. Occasional lifting and moving of moderate to heavy objects. Repetitive hand motions. Work with frequent interruptions, maintain emotional control under stress.
Education:
High school diploma or GED (2 Years of College or Bachelors Degree Preferred)
Special Knowledge/Skills:
Proficient keyboarding, word processing, and file maintenance skills
Effective communication and interpersonal skills
Ability to use personal computer and software to maintain spreadsheets and databases, and do word processing
Strong organizational skills
Ability to perform basic arithmetic calculations
Experience:
1 year clerical and file maintenance experience
Salary : $12 - $15
