Primary Purpose :
Provide support for the daily human resources operations. Perform various routine secretarial duties. Assist the Human Resources Coordinator and Chief of Staff and Human Resources as needed. Must be able to maintain confidentiality at all times.
Qualifications :
Education / Certification :
High school diploma or equivalent
Special Knowledge / Skills :
Ability to use software to develop spreadsheets, databases and work processing
Ability to work tactfully and efficiently despite pressure situations and frequent interruptions
Effective organizational, communication, and interpersonal skills
Ability to prioritize workflow to address the multiple needs of the supervisor or the department
Experience :
Three (3) years secretarial experience, preferred
Major Responsibilities and Duties :
Human Resources Support
- Process onboarding of assigned new employees and verify completeness of files.
- Process and receive criminal history record information, references, and other application documents.
- Assist with the input and maintenance of information in the employee database.
- Assist with posting job vacancies.
- Assist with preparation, distribution, and filing of employment contracts and / or letters of reasonable assurance as needed.
- Assist with tracking of certification or license requirements of employees.
- Assist with processing requests for official district records, including maintaining logs of records request, retrieving documents, copying and emailing / mailing records.
- Designated contact for SSC Custodial and maintain current custodial list.
- Participate and assist with preparation of district job fairs.
- Research and learn all aspects of the Frontline system to become the point of contact for all department and staff needs.
- Assist with correspondences, forms, manuals, schedules, record, and reports for the Coordinator of Human Resources and / or Chief of Staff.
- Run data mining reports in Skyward.
