What are the responsibilities and job description for the On-site Event Production Manager position at Universal Rinks?
About Us:
Universal Rinks is an industry leader in seasonal rink activations and immersive public experiences. We specialize in bringing creative skating environments to life — from traditional holiday ice rinks to offbeat roller installations and pop-up experiences that transform unexpected spaces into unforgettable destinations. Our events blend innovative design, high-quality execution, and the ‘It’s a Vibe’ energy our clients love.
Position Summary:
We are seeking a Seasonal Project Manager who thrives at creative production and operational precision. In this dynamic role, you will lead the full lifecycle of our seasonal rink and activation projects — from creative planning and production to on-site installation and client follow-up.
You will be responsible for coordinating all moving parts: internal design and fabrication teams, vendor partners, installation crews, and client stakeholders. A successful candidate will combine strong project management and organizational skills with the ability to think creatively and communicate clearly.
This is a client-facing, hands-on, and detail-driven role ideal for someone who loves creating exceptional experiences and thrives in fast-paced environments. This position is available immediately and runs through August 2025, with strong potential to extend through the holiday season and develop into a permanent leadership opportunity.
Key Responsibilities:
- Creative Production Oversight:
Collaborate with creative teams to develop and bring to life unique rink and experiential activation concepts, including seasonal themes, branded environments, and interactive elements.

Create and maintain project timelines, task lists, and budgets. Track all deliverables and ensure deadlines are met across multiple projects.
- Client Communication & Coordination:
Serve as the main point of contact for clients during all phases of the project. Guide them through planning, approvals, and execution while ensuring expectations are exceeded.
- Event Logistics & Site Management:
Coordinate with vendors, logistics providers, and internal crew to schedule deliveries, setup, and teardown. Oversee installation teams and ensure everything meets spec on-site.
- Team Leadership:
Supervise event crew, production assistants, and contractors. Delegate effectively and foster a collaborative, solutions-oriented work environment.
- Quality Assurance & Safety:
Ensure every event meets Universal Rinks’ high standards for safety, creativity, and customer experience.
- Reporting & Debrief:
Provide post-event recaps, feedback, and documentation for continuous improvement and client reporting.
Skills & Experience We’re Looking For:
- 2 years in event production, creative operations, or project management (preferably in experiential, seasonal, or live events)
- Highly organized with the ability to manage overlapping timelines, multiple vendors, and changing needs
- Excellent verbal and written communication skills, especially with clients and partners
- Experience with event design or creative execution is a strong plus
- Able to travel, work flexible schedules, and lead on-site teams through tight deadlines and outdoor environments
- Proficiency in Google Workspace, online project management tools, and basic familiarity with production documentation
- Strong problem-solving skills and the ability to think creatively on the fly
- Able to lift and assist with physical installations, as needed
- Driver’s license required, and experience navigating commercial box trucks.
