We are Hiring a Part-time (potential for full-time) Membership Relationship Coordinator.

Main Work Activities and Responsibilities

Administration :

  • Assist with vendor sourcing and scheduling.
  • Manage office supplies within budget.
  • Coordinate birthday celebrations and monthly events.
  • Develop and update processes and procedures.
  • Liaise with Sales, Kitchen, and Operations teams.
  • Oversee the Club’s email inbox and distribute information.
  • Handle payment reconciliation reports.
  • Assist with filing and data input.
  • Provide backup support for the General Manager or other senior staff during absences.
  • Coordinate maintenance requests and monitor progress.

Marketing :

  • Support projects and reports as needed.
  • Manage event signage and printing needs.
  • Contribute to social media efforts.
  • Assist with membership emails, newsletters, and events.
  • Capture and organize event photos for promotional use.
  • Support website maintenance and updates.
  • Membership :

  • Greet members and guests warmly.
  • Answer inbound calls and route appropriately.
  • Assist and direct members and guests within the Club.
  • Support with seating arrangements.
  • Make various calls and reminders to members.
  • Manage member reservations and payments.
  • Assist with reciprocal club arrangements and correspondence.
  • Maintain and update member profiles in the Club’s database.
  • Assist in identifying and reaching out to potential new members.
  • Coordinate with the sales team to follow up on leads and membership inquiries.
  • Member Service Excellence :

  • Respond to member inquiries and complaints promptly, ensuring satisfaction and resolution.
  • Train new staff or temporary employees on front desk procedures when required.
  • Track RSVPs and manage check-in for events.
  • Technology and Systems :

  • Use and maintain the Club’s CRM and reservation systems.
  • Troubleshoot minor IT or system issues (reservation software).
  • Assist in generating monthly reports on membership trends, payments, and event participation.
