POSITION SUMMARY
Performs medical and administrative duties in an outpatient clinic and urgent care setting. Performs patient care duties and procedures under the supervision and guidance of a licensed nurse or physician, including taking vital signs, assisting with patient examinations, specimen collection, routine office laboratory and diagnostic tests and administering medication or treatments. Performs administrative and office duties including patient registration, scheduling appointments, coding and filling out insurance claims, entering and filing records, coordinating billing, and arranging referrals, laboratory services or hospital admission.
ESSENTIAL JOB DUTIES AND FUNCTIONS
Administrative Duties:
- Greet and register patients, employees and other clients; collect demographic, insurance carrier and payment information.
- Maintain good communication with patients, employees and other clients, in-person, by phone and email.
- Schedule appointments for office visits and, as directed, referrals to consulting physician, laboratory tests, imaging or diagnostic examinations or other services.
- Updating and filing patients, employees and other clients' medical records; entering data into electronic health record system.
- Process medical insurance claims; complete insurance claim form of third-party carrier with procedure codes and patient information, enter data into claim information system.
- Collect payments and replies to billing inquiries.
- Perform general office tasks, such as, answering phones, filing, faxing, duplicating documents, general correspondence.
- Assists with ordering and maintaining inventory of supplies and equipment
Clinical Duties:
- Obtain patient, employees and other clients' preliminary medical history and verifies patient information.
- Prepares patient, employees and other clients for examination. Take and record physical attributes such as blood pressure, height, weight, pulse, respiratory rate and temperature.
- Prepares the exam room; disposes contaminated supplies, disinfect surfaces between patients, employees and other clients, resets exam table, arrange equipment, instrument, kits and trays for procedures and restock supplies.
- Assist the physician or nurse practitioner during an exam, as needed.
- Collect and prepare laboratory specimens.
- Performs routine office laboratory and diagnostic tests.
- Prepare and administer medications orally and by injection, PPD skin test, and vaccinations, as directed by a physician or Advanced Practice Registered Nurse (APRN).
- Inform and instruct patients, employees and other clients about procedures or other health information, as directed.
- Maintains and updates professional knowledge and skills necessary to perform job duties and responsibilities; Develops and maintains technical and other job-related competencies. Acquires and retains job-related credentials, as applicable.
General:
- Complies with Health System policies and procedures including patient care standards, safety protocols, and infection prevention, standards of the Joint Commission, and Hawaii State and U.S. Federal regulatory requirements.
- Maintains and ensures confidentiality of information, including patient, employee, other clients' and Health System data and records, in compliance with Company policies, information security standards , HIPAA (Health Insurance Portability and Accountability Act) , and other federal and Hawaii State laws.

Other Duties/Functions:
- Ensures consistency, accuracy and timeliness in performing all assignments and responsibilities.

- Maintains work area in accordance with safety, regulatory and organization standards.
- Participates in quality assurance and performance improvement activities.
- Provides customer service in accordance with company standards.
- Performs other duties as assigned.
QUALIFICATION REQUIREMENTS
Education/Training
Minimum:
- High school diploma, or equivalent.
- Certificate from an accredited Medical Assistant program.
- Certified Medical Assistant (MMA) or CMA (AAMA).
- Basic Life Support (BLS) certification (with retraining once every two years)
Experience
Preferred:
- Two (2) years previous experience as a Medical Assistant in a clinic or medical office.
- One (1) year work experience with medical office billing procedures, filing insurance claims, and medical billing codes.
Skills/Knowledge
Minimum:
- Effective verbal and written communication skills.
- Ability to administer injections.
Preferred:
- Have an understanding of operations for an outpatient medical service.
