Job Summary : The Administrative Assistant I provides administrative support for the operations of unit. Performs routine and well documented administrative tasks. Acts as office liaison / receptionist. Receives and routes phone calls, emails, and / or guests. Maintains files and enters data. Operates standard office equipment such as personal computers, copiers, fax machines, etc.
Additional Department Summary : Supports the OSHA 21d Consultation Program at UA Safe State which provides grant-supported occupational safety and health services to Alabama employers. Development of time-sensitive technical reports to clients serviced by the professional staff. Assists the Consultation Program with both draft and final report preparation of field visits. Provides support and back up to additional departmental staff. Serves as office liaison / receptionist by receiving and routing phone calls, emails, and / or guests. Maintains files and performs essential data entry using a special-applications data system. Assembles data from Qualtrics client surveys to prepare performance reports for management review. Manages the state vehicle calendar along with all supporting documentation. Performs other routine office tasks, including but not limited to, copying, supply inventory, and document preparation.
Required Minimum Qualifications : High school diploma or GED or higher.
Skills and Knowledge : Effective communication, interpersonal, and organizational skills. Knowledge and proficiency with MS Office applications used for data management and reporting (e.g., Word, Excel, Outlook).
Preferred Qualifications : Knowledge and experience working with OIS, a proprietary data system.
