Department Summary

Systemwide Employee & Labor Relations fosters employee engagement, negotiates and administers local and systemwide labor agreements and provides multi-faceted support toward ensuring an inclusive, diverse, collaborative and productive work environments across the UC system.

General Summary of Job Duties and Responsibilities

This role involves a combination of process review, documentation, research, and reporting to improve and streamline complaint handling procedures within an educational institution. The incumbent will be responsible for reviewing and revising existing complaint processes, creating visual guides, and suggesting improvements based on research

The ideal candidate should be detail-oriented, capable of working with various software tools like Smartsheet, and have a strong ability to create clear and concise reports and documentation. Additionally, they should demonstrate the ability to research best practices and trends in the higher education and employment sectors.

ESSENTIAL FUNCTIONS AND DUTIES

Key Responsibilities

25% Complaint Process Review & Improvement

  • Review and analyze the existing complaint process.
  • Create and revise templates to assist in responding to outreach and formal complaints.
  • Develop flowcharts that visually outline the complaint process for ease of understanding.
  • Make recommendations to improve the current complaint management system.
  • Research how other universities and educational institutions define and handle "conflict of interest" in the complaint process.

25% Smartsheet / Report Creation

  • Create a Smartsheet or report detailing campus- or location-specific complaint procedures.
  • Develop a Smartsheet or report outlining contacts at each campus / location responsible for handling EEOC (Equal Employment Opportunity Commission) charges.
  • 25% Program Support

  • Conduct research on trends within public, state, and private employers regarding benefits, wages, and other employment-related topics.
  • Compile findings into a report or list that outlines current trends and provides links to relevant resources.
  • 25% Technology & Communication Tools

  • Utilize technological tools to streamline reporting and communications.
  • Develop an easy-to-use template for a system-wide newsletter, allowing for efficient updates and communication across the organization.
  • Education Level

    Working towards a Bachelor's degree in related area Required

    Knowledge, Skills, and Abilities Required

  • Understanding of complaint management processes, including formal complaints, outreach, and related protocols.
  • Familiarity with policies and procedures in educational institutions, particularly related to employee relations, equal employment opportunities, and conflict resolution.
  • Understanding of EEOC guidelines and compliance requirements related to workplace discrimination and harassment.
  • Awareness of current trends in wages, benefits, and other employment-related topics within public, state, and private sectors.
  • Knowledge of conflict-of-interest concepts, particularly as they relate to complaint processes in educational and corporate settings.
  • Ability to evaluate existing processes, identify areas for improvement, and develop actionable recommendations.
  • Strong skills in creating and revising templates, documentation, and reports that are clear, professional, and easy to follow.
  • Proficiency in using Smartsheet or similar project management tools to create reports, track progress, and manage data.
  • Excellent written and verbal communication skills, with the ability to articulate complex processes in a simple, understandable manner.
  • Strong research skills to gather information from various sources, particularly regarding trends in employee benefits, wages, and institutional practices.
  • Ability to work with a variety of software tools and platforms, including those used for reporting, newsletters, and other digital communication formats.
  • Ability to pay close attention to detail, ensuring accuracy in templates, reports, and procedures.
  • Strong critical thinking skills to assess existing processes and propose effective solutions.
  • Ability to collaborate effectively with different departments, campuses, or teams to gather information and implement improvements.
  • Strong organizational abilities to manage multiple tasks simultaneously, ensuring that all deadlines and deliverables are met efficiently.
  • Flexibility to adjust to changing priorities, processes, or goals in a dynamic educational environment.
  • Ability to handle sensitive information and maintain confidentiality when dealing with complaints, EEOC charges, and employee data.
  • A combination of these knowledge, skills, and abilities will enable the individual to contribute to a more efficient and effective complaint process while providing valuable insights and support to the Summer Internship Program and other organizational initiatives.
