JOB SUMMARY

Uses skills as a seasoned, experienced professional to manage two key needs : ensuring future donor funds by managing student and alumni awards in the Dean's Office and increasing efficiency of annual, major, and principal gift fundraising activities across the Division of Physical and Biological Sciences (the Science Division).

Budgeted Salary : $80,000.00 - $83,000.00 / year Salary commensurate with skills, qualifications and experience.

JOB DUTIES

50% - Award Management

In consultation with the Dean's Office, relevant departments, Financial Aid, and the Development Office, manages the process of selecting finalists for scholarships, grants, and awards-especially those centered in the Dean's Office-and maintains a detailed database and standard operating procedures for award tracking and management.

Tracks and collects student awardee data across the division with an eye to finding great stories to share with donors.

Ensures the development and application of selection rubrics.

Manages the Science Division Distinguished Alumni Awards nomination, selection, and recognition activities.

Maintains shared and accessible planning documents, procedures, tracking calendars, and financial tracking for student awards.

In support of student success, answers inquiries from students about how to navigate divisional awards, how to prepare successful applications, and awards follow-up.

30% - Strategic Fundraising Planning, Program Design, and Implementation

In consultation with the Executive Director, assists in designing, developing, delivering, and administering fundraising programs in support of the Science Division, identifies new donor prospects, develops materials and marketing plans, organizes related programs and events, and assists in cultivating, stewarding, and soliciting donor prospects.

Develops strategies and plans and coordinates endeavors to reach, identify, expand, and strengthen long-term relationships with donors, trustees, alumni, parents, and supporters of the Division of Physical and Biological Sciences and the larger university and to move relationships forward.

In coordination with development staff, develops plans and leads efforts to systematically identify and qualify large groups of potential donors.

Works on annual giving projects and other donor appeals in the Science Division in concert with departments in University Advancement.

Supports departmental fundraising efforts by responding appropriately to requests for assistance.

Prepares case statements, fundraising appeals, and campaign materials to target key populations to maximize fundraising potential, coordinating the preparation of such materials with the University Advancement Communications and Marketing Office.

Researches and prepares briefing packets for campus officials or volunteers (e.g., chancellor, executive vice chancellor, dean, or trustees). Drafts speeches or comments for speakers (as above) and compiles necessary background materials to provide context for events or meetings.

Develops proficiency in the use of University Advancement resources, including the customer relationship management system and our partner units.

Participates in divisional meetings and task forces, special committees, and other projects as needed.

Fields requests from staff and faculty for event support for seminar series, symposiums, conferences, and other events, offers advice and connects them with assistance.

Works closely with the Annual Giving team to develop a strategy for growing leadership giving through communications, events, mass appeals, and partnership with Chancellor's Associates program.

20% - Stewardship-Related Activities

Oversees stewardship-related activities in concert with the development directors.

Oversees the weekly process of preparing and sending meaningful thank-you notes on behalf of the dean; gathers essential information and ensures letters are drafted in a timely manner.

Manages and ensures the integrity of the award stewardship tracking process for the Science Division.

Prepares donor stewardship materials such as student profiles and short videos for review and distribution by the gift officers; oversees the preparation of donor stewardship packages by gathering thank-you notes from students who receive donated awards and ensuring they get to the donors; drafts packages for the donors that include details about the student projects and an overview of the award along with the thank-you notes.

Works with departments to help them develop templates and processes for thanking their donors.

REQUIRED QUALIFICATIONS

Bachelor's degree in related area and / or equivalent experience / training.

Ability to develop thorough knowledge of the campus, its vision, mission, programs, policies, achievements, and infrastructure and to comprehend university policies and procedures related to fundraising and award management.

Ability to develop sound knowledge of the full spectrum of development practice, principles, ethics, and activities, including gift policies, solicitations, stewardship, administration, and working with high-level volunteer committees, as well as the ability to apply this knowledge creatively to specific fund-raising projects.

Demonstrated organizational and project management skills to work successfully with colleagues to manage complex processes and provide excellent donor stewardship.

Organizational ability to manage and collect information from a variety of sources, represent it in a consistent manner on a spreadsheet or database, and feed it back in a variety of ways as needed.

Expertise in or ability to quickly learn Java or Google App Script coding; experience with Google suite, spreadsheets, and databases.

Highly developed interpersonal communication skills, including political acumen, social perceptiveness, and effective teamwork.

Strong communication skills sufficient to express, concisely and persuasively (both orally and in writing), the mission of the university and the development goals of the campus and the Science Division and to effectively communicate with diverse populations having competing priorities.

Highly developed judgment, decision-making, and skills to recognize, avoid, and resolve problems; skill in determining those issues and problems that need to be brought to management's attention.

Experience maintaining a high standard of productivity within a broad scope of responsibility despite frequent interruptions; proven ability to work on several tasks simultaneously, to respond effectively to priorities, and to set and adhere to deadlines.

Ability to give clear directives and use independent, rational judgment to make optimal decisions.

Demonstrated ability to maintain a high level of confidentiality.

SPECIAL CONDITIONS OF EMPLOYMENT

Selected candidate will be required to pass a pre-employment criminal history background check.

Ability to work long periods of time at a computer with or without accommodation.

Ability to safely perform the physical requirements necessary to move light to moderate objects up to 60 lbs., with or without accommodation.

The selected candidate has the option to work a hybrid work schedule. If a hybrid work schedule is confirmed, the selected candidate must be able to work successfully from a home / remote office and be able to fulfill the requirements of the UCSC telecommuting agreement.

This position requires the ability to report to campus to work in-person as operationally required, with reasonable notice as determined by your manager; travel expenses not covered.

Ability to work a variable schedule.

Ability to work occasional evenings and weekends as directed.

Selected candidate will be required to complete training within established time frames as directed including UC compliance training.

Ability to travel to multiple work locations on and off campus.
