Serve as the Program Assistant under the administrative guidance of the Senior Program Manager (Grants & Research), to include: * Providing administrative support for the staff of the Drug Impaired Driving/DRE/SFST grant* Providing administrative support for the Law Enforcement Liaison program/grant* Providing administrative support to the Financial Operations Coordinator* Providing administrative support to the Senior Program Manager (Grants & Research)* Providing administrative support for non-grant funded personnel and programs as needed
EXAMPLE OF DUTIES
Provide administrative support for the staff of the Drug Impaired Driving/SFST grant and its activities, to include: - 35%Track classes and prepare all materials and rosters to be sent to appropriate instructors.Assist staff with correspondence, rosters, training materials, handouts, etc.Order, track, and disperse supplies and materials needed for grant complianceMaintain database for tracking SFST instructors and provide reports monthly and upon requestOther support as neededProviding administrative support for the Law Enforcement Liaison program: - 3%Complete travel documentation Complete reports for MoDOT and Senior Program Manager ·Prepare weekly, monthly, quarterly and annual activity reports ·Maintain LEL equipment inventory ·Assist with creation of promotional/operational items including process manuals and STEM handbookAssist with other activities as neededProviding administrative support to the Financial Operations Coordinator - 15%Provide billing, invoicing, and vouchering assistance on all grant-related and non-grant activitiesProvide billing, invoicing and vouchering assistance for the Missouri Motorcycle Safety ProgramProvide back-up assistance with depositsOther support as neededProviding administrative support to the Senior Program Manager - 24%Support for survey grants to include expense reporting for surveyors, training logistics, scanning documents, distribution of documentsAssist Senior Program Manager with correspondenceAssist with special projectsOther support as neededServe as the MSC Office Manager for the Humphreys building (or other location if moved) to include: - 10%Inventory, equipment maintenance, and other related activities Purchasing for all Missouri Safety Center programs Chrome River support for all Missouri Safety Center programs Assist staff with correspondence, rosters, training materials, handouts, etc. Monitor and assist with special projects Maintain files as neededMaintain equipment and furniture inventory. Conduct the annual inventory in conjunction with the Purchasing Office ·Maintain and coordinate the repair of office and other equipment Order, track, and disperse supplies and materials needed for grant compliance Serve as the Humphrey’s technology monitor. Call in work orders to repair malfunctioning equipment. Submit phone and network access requests. Assist students/customers who request information or wish to enroll in MSC courses Assist in coordinating events held at main offices of the MSC Other support as neededFunction as a Customer Relations Specialist, to include: - 10%Providing information about the Missouri Safety Center;promote the MSC Mission and courses and projects available to meet the Mission;communicate with other departments on campus related to Missouri Safety Center activities Greet visitors and direct them to the appropriate locations for meetings and activities Answer and distribute phone calls on the MSC phone line and 800 number Maintain and update MSC social media (Facebook, LinkedIn, Twitter, etc.) accounts Direct questions to appropriate MSC Divisions and website information Engage with Harmon College of Business and Professional Studies and other University departments for activities, special projects, and business-related activities Submit items for Harmon College Harmon HappeningsProvide administrative support to the Senior Director of the Missouri Safety Center to include: - 3%Logistics for meetings, logistical support for classes and conferences, and other special projects.
