Job Summary

The Campus Dining Services (CDS) team with CU Boulder is currently accepting applications for a Front Desk Assistant! This is a front-line position that serves as a primary point of contact for both customers and campus partners, offering strategic office support for Campus Dining Services’ (CDS) central administrative office. This position will manage multiple communication and computer systems, while presenting a professional, courteous, and inclusive demeanor to internal and external guests in all communications. Clients include students, parents, CU faculty/staff, and members of the community. This position serves to answer questions, make appointments, provide direct support, and refer to appropriate services inside or outside the department.

Campus Dining Services leads the industry with outstanding quality food and dining experiences. Campus venues include residential dining halls, catering and retail outlets with staff who strive to make each student's experience the best it can be. Serving about 3 million meals each year, Campus Dining Services is dedicated to expanding sustainability efforts and providing options to guests with dietary restrictions and allergens.

What Your Key Responsibilities Will Be

Guest Relations
  • Serve as the first point of contact between CDS, the university, and external constituents. If needed, direct inquiries to appropriate entities.
  • Support the coordination and communication of the logistics of all non-traditional meals, which includes all meals purchased through a campus invoice, as well as various pre-collegiate outreach events, summer conferences, student orientations, move-in week activities, etc.
  • Monitor, organize, and replenish the supply of all guest meal cards. Ensure that all meal/event information is recorded and appropriate paperwork completed, such as date, location, meal numbers, time, and billing.
  • Provide specific directions as special or unusual situations arise.
  • Troubleshoot or redirect problems/complaints that may arise in food delivery, food service, meal plans, foodborne illness, etc.
  • Use discretion, judgment and personal accountability to resolve issues.
  • Using event management software, schedule and book reservations for meeting rooms, including two private dining rooms and various conference rooms throughout campus.
Administrative
  • Assist in maintaining CDS organizational charts.
  • Serve as a centralized support area for dining unit managers and staff.
  • Pick up and sort the daily mail to be delivered to the appropriate dining locations.
  • Keep CDS’s central administrative office clean, presentable, and free of clutter.
  • Perform filing and data entry tasks.
  • Submit maintenance work order requests.
  • Help monitor the inventory of office supplies and report on inventory par levels.
  • Receive, sort, and store office supplies.
  • Coordinate business parking permits for staff.
Communication
  • Support the distribution of communication of CDS information, including meal plan options, costs, locations, hours, and operating schedule to students, strategic partners, and the CU and Boulder community.
  • Field customer queries and complaints via phone calls, emails, and walk-ins.
  • Inform the CDS Administrative Staff on developing and ongoing issues and prioritize business which requires their action and attention.

What We Require

  • Two (2) years of relevant experience in an occupation related to the work assigned to this position OR A combination of related education and/or relevant experience in an occupation related to the work assigned equal to two (2) years.

What You Will Need

  • Strong proficiency with the Microsoft Office suite (Excel, Word, Outlook, etc.) and ability to learn additional computer systems.
  • Proven track record of adapting within a high-paced environment.

What We Would Like You to Have

  • Bachelor’s Degree in communications, business, or related field.
  • Two years of experience working in a higher-education setting.
  • Two years of full-time experience in the administration or coordination of centralized business operations.
