Position Summary
Utilize your skills working as part of the Alumni Relations Team in fulfilling the Departments priorities and objectives.
Essential Duties and Responsibilities
I. Provide administrative support to the Alumni Relations team insuring proper documentation and execution of the department’s goals are met each year.
a. Oversee the invoicing and tracking of expenses for all Alumni Relations programs.
i. Processing checks.
ii. Setting up purchase orders.
iii. Submitting monthly credit card reconciliations.
iv. Tracking expenses to the departments budget on a monthly basis.
b. Set up and maintain registration sites for all appropriate Alumni Relations activities
i. Set up sites
ii. Keep sites updated
iii. Manage the registration process
iv. Track registrations and create appropriate name tags
v. Enter program attendees into RE
c. Order supplies and materials for the department
i. Maintain relationships with appropriate vendors
ii. Keep inventory of our supplies
iii. Place orders as necessary insuring the team has what they need to be successful
d. As requested or needed, assist other Alumni team members on the implementation of other programs or events
II. Train and manager one student worker
a. With the rest of the Alumni Relations team, help hire appropriate student worker
b. Set deadlines for student insuring the work of the team is completed in a timely fashion
c. Work with the rest of the Alumni Relations team for project ideas when the work load needs a boost.
III. Manage the social media accounts and Forever Titans website for the department.
IV. Help as needed, step in when needed and pick up new assignments as directed to help insure the Alumni Relations objectives are met for each fiscal year.
Requirements
Minimum Qualifications
- Education -A two-year college degree or completion of a specialized course of study at a business or trade school or 18 months to four years of work experience in a related field.
- Experience -Two years to five years (Equivalent combination of education and employment).
Preferred Qualifications
- 3 – 5 years Administrative experience.
- 2 – 4 years with social media promotions.
- 2-4 years working on special events.
- Reliable.
- Can work effectively with people in all situations.
- Can lift up to 40 pounds.
- Reliable transportation.
- Creative problem solver.
- Willingness to learn new technology and procedures.
Knowledge, Skills, and Abilities
- Familiar with event management.
- Extensive knowledge of Microsoft programs.
- Quick learner for new technologies.
- Effective communicator, both in writing and verbally to a variety of different audiences.
- Ability to juggle multiple projects and deadlines at the same time.
- Professional telephone manner.
Physical Requirements
Job may require lifting light weight objects (1 to 10 pounds) with no repetitive bending or stooping. Occasionally lift average weight objects (1 to 10 pounds).
Work Environment
Occasional exposure to objectionable conditions or variations such as those found in variable weather conditions or light industrial settings.
Salary/Pay Information
Commensurate with experience
Anticipated Schedule
Monday – Friday, 8:30 a.m. – 5:00 p.m.
Additional Information
- 40 hours work week in an office setting.
- Periodic night and weekend hours expected.
- Many activities held outside of the office setting.
- Expected attire, business casual unless work of the warrants something either more casual or more formal.
