Position Summary
This position reports to the Associate Director for a division and is responsible for managing, facilitating, and / or providing divisional administrative support for the day-to-day operations. This position works with the Associate Director to analyze and report on business operations; compile data from disparate systems to develop complex reporting and monitoring tools; assist with budget, contract, and project development, implementation, and management; maintain project and contract records. The position facilitates communications for the Associate Director, Division, and external clients. This position coordinates business operations, budgeting, and financial work flow for the Division, including faculty, staff, graduate assistants, and several hourly employees. In addition, this position assists the Associate Director with budget development and oversight and with personnel and human resources needs. Exercises a high degree of independence in completing unit tasks.

Analyze and report on the division's business operations, trends, costs, revenues, financial commitments, and obligations. Compile data from disparate systems to develop and maintain complex reporting and monitoring tools. Provide guidance and assistance with budget, contract, and project development, implementation, and management. Compile and maintain appropriate project and contract records and budgeting information.
Percentage of time 35 Duties / Responsibilities
Manage the execution of financial transactions supporting the business needs of the division. Organize, coordinate, communicate, and ensure the proper implementation of approved internal and university business processes and work flows. Serve as point of contact for division vendors. Coordinate the travel needs of the division. Serve as the primary contact for IT needs and equipment purchases and quotes. Coordinate the logistics of all office moves for division employees. Facilitate effective programmatic and contract compliance for a division of approximately 30 employees including : faculty, staff, graduate assistants, students, interns, and bi-weekly employees. Provide information to division employees regarding University policies and procedures. Will prioritize workload obligations to meet division standards and ensure that division operations follow policy provisions and standards.

Manage the day-to-day administration of the division in a timely and confidential manner. Provide administrative leadership, guidance, and coordination for the Associate Director, including meeting and calendar management, professional development budgeting and tracking, and coordinating division budget preparation and monitoring. Facilitate communications for the Associate Director, division, and external clients. Manage data systems to fulfill and track requests. Responsible for coordinating division meetings and greeting visitors.
Percentage of time 25 Duties / Responsibilities
Manage and provide oversight for the execution of internal Institute of Government processes related to personnel and human resources. This includes but is not limited to coordinating, communicating, documenting, and reporting on the hiring, promotion, and reclassification processes and efforts for the division. Serve as the division liaison with the Institute of Government HR Coordinator. Coordinate the onboarding process for division new hires. Serve as point of contact for the division's hourly employees regarding the university's timekeeping system.
